Small Engine Specialists is hiring a Parts & Inventory Coordinator to own receiving, inventory flow, and parts support for both our sales and service departments. This role ensures parts and whole goods are received accurately, entered correctly into our system, organized consistently, and staged properly for service. This position also supports front counter operations when customer traffic requires it. Preventing customer wait time is a year-round expectation. This is an operational role focused on execution, organization, and ownership.

Description

Key Responsibilities

Parts Receiving & Processing

  • Receive and inspect incoming parts and whole goods (mowers, trimmers, chainsaws, etc.)
  • Verify serial numbers and model information
  • Accurately enter units and parts into POS system
  • Process shipments promptly
  • Attach parts to corresponding work orders
  • Communicate backorders or delays clearly

Inventory Flow & Control

  • Maintain clean and organized parts storage areas
  • Follow daily ordering and receiving process
  • Complete a dedicated daily inventory maintenance block
  • Participate in quarterly inventory counts
  • Prep and organize overstock for showroom as needed
  • Ensure shelves remain organized year-round

Counter & Customer Support

  • Step in to assist customers when counter traffic builds
  • Support parts lookup and basic customer needs
  • Maintain professional and efficient customer flow
  • Protect the customer experience by reducing wait time

Daily Inventory Discipline

This role includes a dedicated daily inventory maintenance block to ensure shelves remain organized, fast-moving items are stocked, and overstock is controlled.

Inventory organization is a year-round responsibility, not a once-a-year cleanup.

First 30 Days

  • Learn receiving and POS systems
  • Process parts and whole goods accurately
  • Follow daily ordering and staging process
  • Maintain organized workspace

First 60–90 Days

  • Independently manage daily receiving
  • Track and communicate backorders proactively
  • Support counter flow confidently when needed
  • Complete daily inventory maintenance block without reminders
  • Operate with minimal oversight

One Year

  • Identify and implement improvements to organization and flow
  • Reduce friction between sales and service
  • Maintain consistent standards through peak season
  • Be trusted to run the seat without supervision

Qualifications

  • Strong attention to detail
  • Reliable and punctual
  • Comfortable in a fast-paced shop environment
  • Basic computer proficiency
  • Able to lift up to 50 lbs
  • Comfortable stepping into customer-facing situations when needed
  • Strong sense of urgency and ownership

Experience in parts, inventory, or dealership environments preferred but not required.
