THE MISSION
At Sightline, a well-run office does more than keep the lights on. It creates a foundation that helps people do their best work. As an Office Administrator, your job is to keep the workplace organized, welcoming, and ready for what comes next.
You'll be at the center of the day-to-day employee and visitor experience - managing office needs, coordinating details, and supporting the marketing work that keeps our team connected.
This isn't a role for someone who waits to be told what needs attention. It's for someone who notices the details, follows through, and takes pride in making things easier for everyone around them.
You'll work across departments and both Sightline locations, balancing recurring responsibilities with the unexpected requests that come with a fast-moving business.
The goal? Keep the office running. Make people feel welcome. Support the team. And turn everyday details into a better employee and customer experience.
This role offers some flexibility. We’re looking for someone who can work between 26 and 40 hours per week, Monday through Friday. The specific hours will be set based on the needs of the role and the candidate’s availability.
WHAT YOU'LL OWN
01 / CREATE A WELCOMING, WELL-RUN OFFICE.
- Greet and assist employees, candidates, customers, vendors, and other visitors during standard business hours
- Help create a professional, organized, and welcoming onsite experience Monday through Friday
- Monitor, organize, maintain, and reorder office supplies for both Sightline locations
- Keep kitchenette and shared office areas organized, stocked, and ready for the team
- Monitor and replenish coffee, beverage, and related supplies
- Manage incoming and outgoing mail and help route deliveries to the right people
02 / COORDINATE THE DETAILS. KEEP THINGS MOVING.
- Assist with department meetings and day-to-day office coordination as requested
- Coordinate meeting logistics, supplies, communications, and follow-up so the details come together smoothly
- Serve as the primary point of contact for company vending services and other routine office vendors
- Anticipate needs, flag issues early, and follow through until the details are handled
- Look for simple ways to improve office organization, consistency, and day-to-day efficiency
03 / SUPPORT THE BRAND. SHARE THE STORY.
- Schedule social media content across LinkedIn, Facebook, Instagram, and other approved platforms
- Help develop, organize, and schedule email and direct-mail campaigns
- Support the creation of marketing materials, sales collateral, presentations, brochures, and advertisements
- Make minor website updates, including articles and routine content changes
- Keep the internal company hub current with polls, news, announcements, and other employee content
- Provide additional marketing coordination and administrative support as needs evolve
04 / HELP KEEP PEOPLE CONNECTED.
- Create and post monthly employee recognition presentations
- Support employee communications and company-wide information sharing
- Support administrative projects and cross-functional office needs as requested
- Bring a service mindset to every interaction and help employees find the information or support they need
05 / OWN THE DETAILS.
- Take initiative, stay organized, and follow through on commitments
- Balance recurring responsibilities, changing priorities, and last-minute requests without losing sight of the details
- Communicate clearly, professionally, and promptly with employees, visitors, vendors, and partners
- Collaborate across teams and step in where support is needed
- Live Sightline’s core values and represent the company with patience, professionalism, and care
- Perform other duties and responsibilities as assigned to support the evolving needs of the business

WHAT SUCCESS LOOKS LIKE
Success isn't just measured by whether the supplies are stocked or the mail is sorted. It's measured by how smoothly the office runs, how supported people feel, and how consistently the details are handled.

- Office supplies, shared spaces, mail, and vendor services are organized and dependable
- Marketing and internal communication tasks are accurate, timely, and on brand
- Cross-functional office and administrative requests receive responsive, professional support
