Event Administrator

Location: Seattle, WA

Range: $53,000 – 55,000 annually DOE

 

SBI is seeking an Event Administrator to join our team of vibe-creators, pro-planners, and controlled chaos-conductors. The Events Team partners with SBI’s clients to outline goals and bring their vision to life for events big and small, offering full-service event management for both in-person and virtual events.

As a member of the Events Team, you’ll use your keen eye for detail to provide meeting planning and logistical support for meetings and events in the greater Seattle area and throughout North America for a variety of professional associations. This is a cross-functional position that will closely collaborate with the Association Executives, Member Services/dispatching, and Marketing & Communications teams, and reports directly to the Senior Event Manager.


 Employees in this position will work from our Seattle, WA office as needed for event prep.


Primary Responsibilities

  • Company-wide dispatching workflow tickets from the PSA.
  • Assist in day-to-day project support for multiple national meetings, including event prep.
  • Managing speaker correspondence, contracts, speaker bios, session descriptions, handouts, RFPs, etc.
  • Managing sponsor/exhibitor correspondence, and tracking, and recognition
  • Staff events; includes occasional travel to regional and national meetings.
  • Performing data entry and daily administrative functions; creating invoices, receipts, and tracking expenses for event budget reconciliation.
  • Actively participating in team meetings and working as a team player to complete client work, with an emphasis on event-related projects and tasks.
  • Serving as a member of the Events team; supporting the development and adoption of best practices, training, and high standards of excellence across all SBI client events.
  • Providing high-touch customer service to all clients; working directly with registrants on problems and inquiries.
  • Other duties as assigned by the Senior Event Manager0

Desired Qualifications

  • Accountability to ensure successful events for our clients.
  • Ability to assist on multiple projects of various sizes simultaneously and see them through to completion.
  • Innovative and resourceful; actively seeks opportunities to take a leadership role in the execution of improving the event planning process and attendee experience.
  • Direct experience with planning & overseeing logistics of virtual and/or hybrid events, including (but not limited to) platform selection, training (staff & volunteers), and providing guidance on end-user design.
  • Exposure to/expertise with various platforms is highly valued.
  • Ability to see the big picture and strategically align events with overarching client goals.
  • High energy, positive, professional attitude, take pride in work product.
  • Great team member: willing to roll up your sleeves and pitch in to help your colleagues when needed.

Knowledge, Skills and Experience

  • 2+ years of professional admin/meeting/event planning and execution.
  • Up-to-date on current trends in the meetings industry.
  • Direct experience managing event apps, including platform selection, training (staff & volunteers), and providing guidance on end-user design.
  • Tech-savvy; strong computer skills to include Microsoft Office, CRM and/or AMS platforms, event registration systems, and online applications.
  • Exceptional client service skills and enjoy working with the public.
  • Strong time management skills and ability to manage concurrent tasks efficiently.
  • Superior attention to detail; first-class organizational skills.
  • Excellent written and verbal communication skills.
