This position is vital in ensuring the smooth operation of the Sara Holbrook Community Center and the services it provides. Focused on customer service as well as systems and processes this individual needs to be friendly, adaptable, and able to anticipate opportunities for efficiencies and streamlining operations. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Previous experience working in an office environment, performing administrative duties and providing support to management preferred.


Essential Duties and Responsibilities:

  • Manage new employee onboarding and personnel file management
  • Manage child care subsidy attendance and invoicing
  • Support payroll processing
  • Manage vendor accounts
  • Receive/Pick-Up, log and sort incoming mail and deliveries, manage outgoing mail,
  • Track logged and submitted invoices through payment processing
  • Monitor and respond to the general organization's email communications
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Manage office supplies inventory and place orders as necessary
  • Provide other administrative support to the Executive Director, Associate Director, and senior leadership team

Qualifications for Office Manager

  • 2-5 years of work experience in an administrative/office management role
  • Ability to pass a comprehensive background check
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and the ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills and an ability to relate to children
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office and Google products
