The TA/CSR is a dual role that serves as a first point of contact for our clients and referring veterinarians and a dependable, trained hand on procedures. In the CSR aspect they display excellent customer service and care; they ensure communications are handled professionally and are responsible for all front office tasks such as answering phones and emails, presenting estimates, scheduling clients, etc. Additionally, they serve as a technician assistant and support doctors, the imaging director and senior technician staff in day-to-day cases, procedures and other medically focused tasks as directed.

As a Veterinary Assistant & Patient Care Coordinator, you'll play a unique dual role that combines compassionate client service with hands-on clinical support. You'll guide clients and referring veterinarians through the diagnostic imaging process while working alongside veterinarians, board-certified radiologists, and some of North America's premier cross-sectional imaging and neuroimaging specialists to help deliver exceptional patient care.

This is more than a front desk position—and more than a veterinary assistant role. It's an opportunity to become an integral part of a collaborative specialty team dedicated exclusively to advanced diagnostic imaging.

What You'll Do

Deliver an Exceptional Client Experience

  • Welcome clients and create a positive, compassionate experience from arrival through discharge.
  • Answer incoming calls, emails, and client inquiries professionally and promptly.
  • Coordinate appointments and maintain an efficient daily schedule.
  • Present treatment estimates and help clients understand the diagnostic imaging process.
  • Obtain patient histories and coordinate communication with referring veterinary hospitals.
  • Maintain accurate patient records across hospital systems.
  • Process payments and coordinate patient admissions and discharges.
  • Collaborate with the clinical team to ensure seamless communication throughout each patient's visit.

Support Exceptional Patient Care

  • Admit and discharge patients safely and efficiently.
  • Obtain patient weights, vital signs, and basic patient information.
  • Assist veterinarians and technicians during examinations and imaging procedures.
  • Prepare patients and equipment for ultrasound and other imaging studies.
  • Assist with patient restraint using Fear Free® and low-stress handling techniques.
  • Prepare laboratory samples for shipment.
  • Support patient monitoring and recovery as directed by the clinical team.
  • Help maintain accurate medical records and procedure documentation.

Support Hospital Operations

  • Prepare treatment and imaging areas for daily operations.
  • Clean, sanitize, and organize equipment and patient care areas.
  • Maintain supplies and support inventory management.
  • Assist with daily opening and closing procedures.
  • Help maintain a safe, efficient, and welcoming hospital environment.
  • Support additional operational and administrative tasks as needed.

Qualifications

Required

  • High school diploma or equivalent.
  • Previous customer service experience.
  • Strong organizational and communication skills.
  • Professional demeanor with excellent interpersonal skills.
  • Ability to multitask while maintaining attention to detail.
  • Reliable attendance and a positive, team-oriented attitude.
  • Experience using scheduling, communication, or practice management software.

Preferred

  • Previous experience in veterinary medicine.
  • Experience as a Veterinary Assistant, Client Service Representative, or Patient Care Coordinator.
  • Familiarity with EzyVet or similar veterinary practice management software.
  • Experience with Google Workspace, Slack, and other collaborative software platforms.
