The HR and Operations Assistant serves as a central support partner to the leadership team, managing executive-level administrative tasks, coordinating ongoing HR processes, and ensuring our office spaces run smoothly. This person helps keep our team organized, our people supported, and our workplaces welcoming and operational.

Qualifications


  • 2–5+ years of experience in an administrative, executive assistant, HR, or operations support role
  • Prior exposure to HR processes (e.g., onboarding, offboarding, employee records, benefits coordination)
  • Experience with tools like Google Workspace, Slack, and Gusto preferred
  • Familiarity with office operations or facilities coordination (e.g., vendor management, supplies, workspace upkeep)
  • Demonstrated ability to manage multiple priorities and deadlines with strong attention to detail
  • High level of discretion and ability to handle sensitive/confidential information 
  • Has a car and willingness to drive; active driver’s license and in good standing 
  • Ability to lift 40lbs 
  • Must live in Chicago


Key Responsibilities


  • Oversee office operations across locations, including vendor management, supplies, budgeting, maintenance, and new office setup (30%)
  • Support core HR processes such as payroll coordination, performance reviews, onboarding/offboarding, and internal reporting (30%)
  • Maintain and support internal systems, troubleshoot issues, and improve processes through documentation and organization (15%)
  • Provide high-level administrative support to the leadership team, including scheduling, meeting coordination, and day-to-day operational support (15%)
  • Manage compliance and risk-related activities, including training tracking, documentation upkeep, and insurance coordination (10%)


Salary

$25 - $25 per hour
