We are building an AI-first operations infrastructure, deploying intelligent workflows to reduce manual work and enable our team to focus on strategy, optimization, and scaling impact. Over the past year, we’ve deployed 47+ internal automation agents and are rapidly expanding.
ROLE OVERVIEW
We are hiring an AI Systems Delivery Manager to own end-to-end execution and accountability of internal AI automation initiatives. This role bridges:
- Technical delivery coordination
- Workflow automation project management
- Operational accountability and cross-functional alignment
Key aspects of the role:
- Work daily with the Automation Engineer to ensure tasks are properly scoped, moving at the right velocity, and delivered to production on schedule
- Evaluate technical work quality, assess timelines, and escalate blockers proactively
- Bring ideas for new automations, smarter system connections, and process improvements
- Collaborate with leadership on AI workflows supporting performance marketing operations
KEY RESPONSIBILITIES
Delivery Management & Engineering Oversight
- Lead async daily check-ins with the Automation Engineer
- Evaluate task complexity and delivery estimates
- Flag blockers, ambiguous specs, or capacity concerns
- Review completed automation builds against specs
Technical Project Scoping & Documentation
- Translate leadership automation concepts into clearly scoped workflow specs
- Break larger initiatives into sequenced milestones with owners, deadlines, and Definition-of-Done
- Maintain documentation for engineers to execute tasks independently
Project Operations (ClickUp)
- Manage AI/automation pipelines in ClickUp (boards, statuses, dependencies, deliverables)
- Ensure project state reflects reality
- Build reusable templates for recurring automation tasks (n8n workflows, API integrations, reporting automations)
- Deliver weekly velocity and delivery performance reports
Delivery Velocity & Cycle Time Management
- Track cycle times from task creation to production launch
- Maintain a transparent ship log of deployments and outcomes
- Lead weekly syncs to review shipped work, upcoming tasks, and at-risk initiatives
- Prioritize high-impact automation work
Process Standards & Workflow Governance
- Build and maintain SOPs for automation delivery
- Create intake processes to enforce clarity before work begins
- Develop quality checklists for common deliverable types
- Ensure production workflows have basic documentation
Innovation, AI Strategy & Roadmap Input
- Participate in ideation sessions and propose new automation concepts
- Identify operational inefficiencies and recommend automation solutions
- Stay current on AI, integration, and automation trends
- Contribute to the automation roadmap with rough scope and business case
WHAT YOU’LL NEED TO SUCCEED
Minimum Requirements
- 3–6 years in technical project management, delivery management, AI operations, or automation project coordination
- Ability to read and interpret workflow automation builds (n8n, Make.com, Zapier)
- Experience managing technical contributors with clear accountability
- Proficiency with ClickUp for project and task management
- Excellent English communication skills for async remote coordination
- Basic understanding of performance marketing metrics (ROAS, CPA, CAC, LTV) and marketing data pipelines
Bonus Qualifications
- Experience managing automation pipelines or API integration projects
- Familiarity with AI tools and APIs (OpenAI, Claude, Perplexity)
- Startup, agency, or AI-first environment experience
- Technical writing, QA, or workflow documentation background
- Exposure to performance marketing platforms (Meta Ads, Google Ads, Klaviyo, Shopify)
- Basic Python scripting knowledge
EXPECTATIONS & SCOPE
This role is NOT:
- A software engineering role
- A passive task tracker
- A media buying, campaign strategy, or marketing strategist position
You are accountable for execution quality, delivery velocity, and operational excellence in AI automation systems.

- Spec Quality: no engineer blockers due to missing information
- Deadline Accuracy: realistic estimates with proactive variance reporting
- Engineering Utilization: clear pipeline of prioritized tasks
- ClickUp Hygiene: accurate project state and self-serve leadership visibility
