We are seeking a highly organized and detail-oriented Administrative Coordinator to support day-to-day operations across human resources, recruiting, and office administration. This role is essential to keeping our internal systems running smoothly, supporting the employee lifecycle, and contributing to Rosegate’s culture through events and internal administration.

Administrative Coordinator 

Location: On-site role in our Charlotte office.

The Administrative Coordinator is an entry-level, full-time role responsible for providing foundational administrative, HR, and office support. This position plays a key role in maintaining organization, supporting internal teams, and ensuring a smooth employee and candidate experience. 


What You’ll Do 

HR & Employee Lifecycle Support 

  • Assist with recruiting and provide general support throughout the hiring process, including candidate coordination, communication, and administrative tasks to ensure an efficient and positive recruitment experience. 
  • Assist with onboarding and offboarding preparation including welcome materials, workspace setup coordination, and document organization. 
  • Support compliance tracking needs and internal HR communications. 
  • Assist with supporting systems focused on employee retention and culture. 

Office Administration & Coordination 

  • Perform daily office upkeep including supply ordering, mail organization and distribution, and general office organization. 
  • Support visitor access and office check-in processes. 
  • Maintain conference room schedules and ensure meeting spaces are clean and organized. 
  • Assist with general office operations, internal displays, equipment coordination, and vendor communication. 
  • Contribute to a positive and collaborative team culture 

Operational & Leadership Support 

  • Provide administrative support such as calendar coordination, meeting reminders, and preparation for internal meetings. 
  • Assist with internal event planning, including team gatherings, culture initiatives, and office celebrations. 
  • Support leadership with internal systems updates, data entry, and special projects as assigned. 
  • Assist with maintaining social media content calendars and editing photos or videos for internal and marketing use. 

What We’re Looking For 

  • Bachelor’s degree or equivalent professional experience preferred; associate’s degree acceptable. 
  • Prior experience in administrative support, customer service, or HR support preferred (internships acceptable). 
  • Strong organizational, multitasking, and time-management skills. 
  • Excellent written and verbal communication abilities. 
  • Proficiency with Microsoft Office Suite and standard office technology. 
  • Ability to maintain confidentiality and handle sensitive information with professionalism. 
  • Familiarity with applicant tracking systems or HRIS tools is a plus. 
  • Interest in human resources, recruiting, and office operations.
