RoDa Business Solutions, LLC is seeking an experienced and detail-oriented Contract Administrator to administer federal government contracts and manage Task Orders (TOs) and Call Orders (COs) issued under IDIQ contracts, BPAs, and other contract vehicles.
The Contract Administrator will maintain visibility of order-level requirements, deadlines, funding, deliverables, and contractual actions while supporting broader prime contract and subcontract administration.
The ideal candidate understands federal contracting requirements, independently manages multiple concurrent contract actions, anticipates upcoming requirements and deadlines, and works effectively with program managers, corporate leadership, contracting officials, subcontractors, and other stakeholders.
· Manage the end-to-end lifecycle of Task Orders and Call Orders, from receipt of the Government request through contract closeout.
· Review TO/CO requests, solicitations, PWS/SOW requirements, contract clauses, instructions, funding information, and submission requirements.
· Coordinate internally with program management, pricing, finance, business development, and leadership to support timely and compliant TO/CO responses.
· Establish and maintain a comprehensive Task/Call Order management dashboard tracking request and response due dates; submission and award status; order ceiling/value and funded amount; periods of performance and option periods; CLINs; key personnel and staffing requirements; deliverables and reporting requirements; modifications and funding actions; invoice status; contractual correspondence and pending actions; and closeout status.
· Review TO/CO awards to confirm alignment with submitted technical, staffing, pricing, and contractual requirements.
· Monitor funding levels, ceilings, burn rates, periods of performance, option dates, and contractual milestones; provide advance notice of required actions.
· Administer TO/CO modifications, incremental funding actions, extensions, option exercises, personnel changes, and other contractual actions.
· Coordinate required TO/CO deliverables and ensure timely submission and documentation.
· Maintain complete and auditable order-level files and correspondence.
· Manage TO/CO closeout, including final deliverables, invoice reconciliation, funding disposition, property documentation, and required records.
· Administer federal prime contracts and subcontracts throughout the contract lifecycle.
· Review contracts, modifications, SOWs/PWSs, clauses, and related contractual documents to identify requirements, risks, and compliance obligations.
· Maintain contract files, correspondence, modifications, deliverables, funding documentation, and required contractual records.
· Develop and maintain contract-level trackers for funding, ceilings, periods of performance, option dates, deliverables, and other contractual milestones.
· Prepare, review, and process contract modifications, administrative actions, and supporting documentation.
· Coordinate with Program Managers to ensure contract performance remains aligned with contractual requirements.
· Administer subcontract agreements, modifications, funding actions, deliverables, and compliance documentation.
· Monitor subcontractor contractual performance and required submissions.
· Prepare and coordinate contractual correspondence with Contracting Officers, Contracting Officer’s Representatives (CORs), and other Government representatives.
· Support contract invoicing by validating funding, CLINs, labor categories, periods of performance, and applicable billing provisions.
· Monitor compliance with applicable FAR, DFARS, agency-specific regulations, contract clauses, and company policies and procedures.
· Support contract audits, internal reviews, and Government documentation requests.
· Identify contractual risks, discrepancies, funding concerns, and potential compliance issues and elevate them to management with recommended corrective actions.
· Support contract-level closeout activities and records retention.
· Support business development and proposal activities through review of contractual requirements, terms and conditions, representations and certifications, and related documentation.
· Bachelor’s degree in Business Administration, Contract Management, Acquisition, Finance, or a related field; relevant experience may be considered in lieu of a degree.
· 3–5 years of progressively responsible federal government contract administration experience.
· Demonstrated experience administering Task Orders and/or Call Orders under IDIQ contracts, BPAs, or similar contract vehicles.
· Working knowledge of the Federal Acquisition Regulation (FAR) and experience interpreting Government contracts and contract clauses.
· Experience with contract modifications, funding actions, CLINs, deliverables, invoicing requirements, and contract closeout.
· Experience maintaining contract and order-level tracking systems and documentation.
· Strong organizational and analytical skills with the ability to independently manage multiple contracts, orders, deadlines, and competing priorities.
· Strong written and verbal communication skills.
· Demonstrated attention to detail and ability to identify contractual and compliance issues.
· Proficiency with Microsoft Office applications, including Excel, Word, Outlook, Teams, and SharePoint.
· Experience supporting Department of Defense and/or federal civilian agency contracts.
· Familiarity with DFARS and DoD contracting requirements.
· Experience administering both prime contracts and subcontracts.
· Experience with multiple-award IDIQ contract vehicles and competitive Task Order environments.
· Experience with contract invoicing, funding reconciliation, and contract closeout.
· Experience working within a small-business federal contracting environment.
· Professional certification such as CFCM or CPCM is a plus.
