We seek a skilled and well-organized Business Support Specialist to work with the Managing Partner to ensure that our staff is well-equipped and productive; prepare proposals and contracts based on templates; onboard new clients and team members; handle invoicing in QuickBooks and accounts payable in Gusto; and oversee the bookkeeper and accountant. This job starts at 15-25 hours a week averaging 20, and can be hybrid in the DC area or remote.

BUSINESS SUPPORT SPECIALIST 

Remote or hybrid (based in Washington, D.C.)


RenewComm sells high-quality B-to-B marketing, public relations, and communications services to companies of all sizes that make and deploy solutions to climate change, primarily in the renewable energy field. Typical tasks include:


Business administration

  • Invoice clients based on contract terms and follow up on accounts receivable, using QuickBooks
  • Handle payroll and accounts payable, using Gusto
  • Oversee our contract bookkeeper and our tax accounting firm
  • Maintain and report on business metrics such as revenue, time, and expenses
  • Maintain our subscriptions and software licenses
  • Book team travel, hotel, and room rentals 
  • Schedule company, partner, and client meetings


Project management

  • Maintain operations to-do lists and checklists, using Trello
  • Help set up and manage systems such as the team calendars and Google Groups for each client, and templates for business documents
  • Identify areas for improvement so the business and our projects run smoothly


HR

  • Onboard new clients, contractors, employees, and vendors, working from checklists and our Standard Operating Procedures, and answering their questions about our benefits and software
  • Manage company health and retirement benefits
  • Support our recruiting from a diverse applicant pool, hiring, onboarding, and evaluation


Marketing

  • Maintain or oversee a contractor in maintaining a master list of conferences and events for the company and/or clients to consider attending
  • Participate in market research to identify and capitalize on opportunities
  • Contribute in meetings about the Scope of Work for new business prospects
  • Prepare proposals and contracts from templates to secure new business
  • Upload content to the company website and social channels
  • Expand the company library of case studies, media, and training materials


Continuing education: Training in the Entrepreneur Operating System and/or Growth Momentum Method for a smooth-running and profitable company; membership in a relevant networking group and/or attendance at a training or annual conference in this field; relevant webinars, books, and news subscriptions


Reports to: Managing Partner

Promotion path: Manager, Director


Qualifications

  • Associate or Bachelor’s degree
  • At least 3 years of professional experience
  • Experience in small business management, ideally at a services agency
  • Familiarity with business financial reporting, including basic knowledge of QuickBooks or similar system
  • Passion for supporting the clean energy transition and reversing the negative effects of climate change 


Compensation: $35 to $45 an hour as a part-time W-2 employee averaging 20 hours a week to start (the equivalent of $70,000 to $90,000 a year if full-time), plus bonuses based on personal and business performance. Eligible for conversion to full-time salaried position if desired, and if personal and business performance supports it.


Benefits: Paid federal holidays at same percentage as time worked, plus 1 hour per 13 hours worked of combined vacation, personal time off, and sick leave (the equivalent of an additional 4 weeks a year if full-time). Eligible for employee-funded 401k, at 20 hours a week and above. May be eligible for Qualified Small Employer Health Reimbursement Account for health insurance and medical expenses, at 30 hours a week and above.

$35 - $45 per hour
