Family Coordinator (On-Site)

Tuesday–Friday, 9:00 AM – 2:00 PM (on-site)
Weekend (2-4 hours, remote)
22-24 hours per week
Role Overview
The Family Coordinator provides on-site operational and administrative support across Quantum STEM School and Cascade Enrichment. This role manages communication with prospective families, coordinates tutoring schedules, and ensures a smooth and professional experience from initial inquiry through enrollment.
In addition to coordination responsibilities, this role supports daily program operations by stepping into classrooms as needed to maintain ratios, assist with transitions, and ensure programs run safely and smoothly.
This is an on-site role requiring active participation in the program environment and compliance with Washington State DCYF licensing requirements.
Key Responsibilities
Family Communication & Enrollment Support
- Serve as the primary point of contact for all prospective families across programs
- Respond promptly to inquiries and guide families through enrollment for:
- Preschool (Quantum STEM School)
- Before & After School Care
- K–12 Tutoring (Cascade Enrichment)
- STEM Camps and seasonal programs
- Help families understand program options, schedules, and best fit for their child
- Track leads and follow up consistently to ensure timely communication and enrollment conversion
- Maintain organized records of family communication and enrollment status
Program Coordination
- Coordinate enrollment and scheduling across programs, including tutoring, preschool, before/after care, and camps
- Match students with tutors based on subject needs, availability, and fit
- Schedule and confirm tutoring sessions and ensure families are set up correctly in systems
- Support tutor onboarding and orientation, including expectations and communication processes
- Ensure families are fully onboarded with clear next steps, schedules, and program details
- Maintain clear, consistent communication between families, tutors, and staff
- Proactively identify and resolve scheduling conflicts, gaps, or miscommunications
On-Site Program Support
- Be available to step into classrooms as needed to maintain staff-to-child ratios
- Assist with transitions, coverage for breaks, and general classroom support
- Support preschool and before/after care programs as needed
- Help maintain a safe, organized, and well-functioning environment
- Follow all classroom procedures and licensing expectations while supporting staff
Administrative & Systems Management
- Manage and update systems including:
- Teachworks
- Brightwheel
- Jira
- Google Workspace
- Ensure accuracy across scheduling, communication, and student records
- Identify and resolve scheduling conflicts or communication gaps
- Collaborate with leadership to improve systems and workflows
Minimum Requirements
- Active MERIT profile (or ability to obtain prior to employment), including background check
- CPR/First Aid certification (or ability to obtain upon hire)
- Experience working with children in a preschool, childcare, or K–12 setting
- Strong organizational and communication skills
- Ability to multitask in a fast-paced environment
- Comfortable using multiple software systems

About Our Programs
Quantum STEM School is a licensed Pre-K program serving children ages 3–5 through hands-on, STEM-based learning. Cascade Enrichment provides K–12 tutoring and enrichment programs across the Snoqualmie Valley, with on-site before/after care.
This role supports both programs and plays a key part in ensuring families receive clear communication and a high-quality experience from first inquiry through enrollment.
