Position Summary

The Scheduling Coordinator is responsible for managing nursing staff schedules and ensuring consistent staffing coverage for all client cases. This role serves as the lead for scheduling operations, coordinating daily staffing activities, addressing coverage needs, and supporting the scheduling team to ensure clients receive uninterrupted services. The Scheduling Coordinator works closely with nurses, clients, supervisors, and case managers to maintain accurate schedules, respond to staffing challenges, and support efficient day-to-day scheduling operations.

Key Responsibilities

  • Serve as the lead for scheduling operations, providing day-to-day guidance and support to the scheduling team.
  • Develop, maintain, and update nursing staff schedules to ensure all client care needs are appropriately staffed.
  • Assign and adjust shifts based on staff availability, qualifications, client needs, and service requirements.
  • Manage call-outs, schedule changes, and last-minute staffing needs to minimize service interruptions.
  • Monitor daily staffing coverage and proactively address open shifts and coverage gaps.
  • Communicate regularly with nursing staff regarding schedules, assignments, and coverage needs.
  • Coordinate staffing needs with supervisors, case managers, clients, and families as appropriate.
  • Maintain accurate scheduling records and staffing information.
  • Track schedule changes and ensure updates are communicated promptly to all affected parties.
  • Escalate staffing concerns, recurring attendance issues, or service gaps to management as appropriate.
  • Assist with onboarding and training new scheduling staff on scheduling procedures and systems.
  • Support efficient day-to-day office operations related to scheduling and staffing coordination.
  • Participate in staffing meetings and assist with workforce planning to support client service needs.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous experience in healthcare scheduling, home care, private duty nursing, staffing coordination, or a related healthcare environment strongly preferred.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Ability to work effectively in a fast-paced environment and manage multiple staffing priorities.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and accuracy.
  • Proficiency with scheduling software, Microsoft Office, and other office technology platforms.
  • Ability to handle confidential information in accordance with HIPAA requirements.

  • Experience coordinating schedules for multiple staff and clients simultaneously.
  • Ability to remain calm and organized during staffing emergencies and schedule changes.
  • Strong customer service skills and ability to build positive relationships with staff, clients, and referral partners.
  • Ability to work independently while collaborating effectively with the broader management team.


Salary

$25 - $30 per hour
