Brief Description 

The Administrative Assistant  serves as the point of contact for our employees, clients, and vendors. This position will coordinate, oversee, and/or perform a wide variety of administrative, secretarial, and program support activities in order to maintain organizational efficiencies and to support the vision of Providence School of Arts. The Assistant will foster a culture of collaboration while maintaining a high degree of organization, attention to detail, and managing competing priorities.


Key Job Responsibilities

  • Answer phone calls, emails, and other school related inquiries.
  • Schedule and facilitate school tours and placement tests.
  • Recruit and coordinate volunteer activities for special events, field trips, and other school related activities.
  • Manage external communication platforms to include website, social media, Mailchimp, and Sycamore Schools
  • Ordering and office supplies and materials
  • Coordinate with the Executive Director to handle payroll and personnel databases.
  • Process invoices, receive payments, and assist with financial reports via Quickbooks.
  • Interacting with returning and prospective students/families in order to establish a positive report and to reflect the heart of Providence School of Arts
  • Promote positive school culture and support efforts of the Executive Director
  • Coordinate community events and other school related activities. 
  • Participate in PSA events and other administrative duties as assigned. 
  • Support the Executive Director with development and fundraising goals. 
  • Work closely with the Executive Director on school related projects
  • Assist with students as needed.
  • Support teacher in the classroom as needed.

Qualifications  

Bachelor’s or Master’s Degree

 2+ years administrative experience.
