We are hiring a Chief of Staff to work directly with the CEO on the company’s most important operational and strategic priorities. You will help run the business, build the systems that support our growth, and take ownership of projects across finance, internal operations, and go-to-market.

ProDex Labs builds Dexter, an AI industrial engineer for factory operations. Dexter connects enterprise systems, spreadsheets, and operational knowledge into a live factory model that manufacturers use to simulate production, optimize schedules, identify bottlenecks, and reduce quality costs. Our customers include L3Harris, HighCom Armor Solutions, TIME Manufacturing, and Alimentos ProSalud. We are a small team in Manhattan building software for demanding industrial environments, with deployment inside customers’ security boundaries.

About the Role

You will turn ambiguous priorities into clear plans and carry them through execution. Your work could include improving our financial reporting, coordinating with accountants and lawyers, evaluating an expansion opportunity, or preparing for an investor discussion. You will help the CEO make informed decisions and ensure those decisions translate into completed work.


This is a hands-on role with broad responsibility and direct exposure to customers, investors, and company leadership. You should be comfortable moving between detailed operational work and strategic questions, with the judgment to identify what needs attention and the initiative to act.


In this role, you will

  • Partner directly with the CEO to set priorities, prepare for important meetings and decisions, and drive follow-through across the company.
  • Build and manage our financial systems, including spend management, expense approvals, budgeting, and reporting.
  • Coordinate external accounting partners to keep bookkeeping accurate and current, manage deadlines, and ensure filings and payments happen on time.
  • Own invoicing, collections, and cash flow tracking, maintaining a clear view of company finances and surfacing issues early.
  • Coordinate with external counsel on contracts, corporate governance, and legal filings; maintain organized corporate records.
  • Improve internal operations across vendor management, procurement, hiring coordination, travel, and company documentation.
  • Support fundraising and investor relations through financial analysis, company updates, presentations, and diligence coordination.
  • Lead selected growth initiatives, including market research, international expansion planning, sales operations, and coordination with key customer stakeholders.


What You Bring

  • 2+ years of experience in an operationally intense environment, such as investment banking, consulting, private equity, or a high-growth startup.
  • Strong analytical and financial skills, including spreadsheet modeling and the ability to turn incomplete information into a clear recommendation.
  • A track record of taking ownership, managing competing deadlines, and following through on complex work with limited oversight.
  • Excellent written and verbal communication, with the ability to work effectively with customers, investors, accountants, lawyers, and internal teams.
  • Strong attention to detail and the ability to build practical processes that keep a growing company organized.
  • Sound judgment and discretion when handling sensitive financial, legal, and personnel information.
  • Willingness to learn unfamiliar areas quickly and take on whatever work is needed to move the company forward.


What Will Set You Apart

  • Experience working directly with a founder or executive at an early-stage company.
  • Experience building finance or business operations processes, including familiarity with tools such as Ramp, QuickBooks, or NetSuite.
  • Experience supporting fundraising, investor reporting, financial planning, or corporate legal coordination.
  • Experience evaluating new markets, supporting enterprise sales, or driving international expansion.
  • Familiarity with manufacturing, aerospace and defense, or enterprise software.
