Prism is seeking a highly organized and polished Public Relations & Executive Support Coordinator to support our leadership team with executive communications, public relations, scheduling, event coordination, and external stakeholder engagement. This position will work directly for Prism and help coordinate the organization’s interactions with government officials, public agencies, community leaders, media representatives, partner organizations, and other external stakeholders. The ideal candidate has experience supporting senior executives or organizations that regularly engage with government entities, elected officials, public-sector partners, diplomatic representatives, or community leaders. This individual should understand professional protocol, advanced planning, high-level event coordination, and the importance of discretion when managing sensitive information and important relationships.

Public Relations & Executive Support Coordinator


Location: Remote - Latin America

Compensation: $1,800 USD per month

Employment Type: Full-Time


Key Responsibilities

  • Coordinate executive calendars, appointments, meetings, travel, and public appearances.
  • Manage scheduling requests and communicate professionally with internal and external stakeholders.
  • Conduct advance work for meetings, events, official visits, speaking engagements, and executive appearances.
  • Prepare detailed itineraries, briefing materials, schedules, talking points, and event logistics.
  • Support Prism’s public relations efforts, including media outreach, press coordination, and external communications.
  • Draft press releases, announcements, invitations, correspondence, presentations, and social media content.
  • Coordinate Prism events involving government representatives, public agencies, community organizations, partners, and other stakeholders.
  • Manage event protocol, guest lists, seating arrangements, introductions, executive arrivals, and VIP accommodations.
  • Serve as a professional liaison between Prism leadership and government officials, community leaders, media representatives, partner organizations, and other external contacts.
  • Track media coverage, public engagements, deadlines, commitments, and follow-up activities.
  • Maintain confidentiality and exercise sound judgment when handling sensitive organizational or executive matters.
  • Provide administrative and organizational support to Prism leadership as needed.


Qualifications

  • Bachelor’s degree in Public Relations, Communications, Political Science, Public Administration, International Relations, Journalism, Marketing, or a related field preferred.
  • Experience in public relations, executive assistance, external affairs, stakeholder engagement, protocol, event planning, or executive communications.
  • Experience supporting an organization or executive that works with government agencies, elected officials, public-sector partners, or community leaders.
  • Strong calendar management, scheduling, and organizational skills.
  • Familiarity with advance work and coordinating high-level meetings, visits, events, or public appearances.
  • Excellent written and verbal communication skills.
  • Professional presence and confidence communicating with senior executives, public officials, and external stakeholders.
  • Strong attention to detail and the ability to manage multiple priorities simultaneously.
  • High level of discretion, diplomacy, reliability, and sound judgment.
  • Ability to work independently in a fast-paced remote environment.
  • Fluency in English and Spanish is required.


Preferred Experience

  • Previous experience supporting a senior executive, nonprofit organization, healthcare organization, public relations agency, public affairs firm, embassy, municipality, ministry, elected official, or government-facing organization.
  • Experience coordinating meetings or events involving government officials, public agencies, community leaders, media representatives, or VIP guests.
  • Knowledge of formal protocol, executive etiquette, and professional stakeholder engagement.
  • Experience developing media relationships and coordinating press opportunities.
  • Familiarity with Microsoft Office, Google Workspace, calendar platforms, social media, and virtual communication tools.


Salary

$1,750 - $1,800 per month
