Medical Office Manager Responsibilities

Office Operations

  • Oversee daily operations of a busy multi-provider medical practice.
  • Ensure efficient patient flow and clinic productivity.
  • Develop and enforce office policies and procedures.
  • Maintain office organization, cleanliness, and professionalism.
  • Monitor office supplies and equipment inventory.

Staff Management

  • Supervise front desk, medical assistants, referral coordinators, and administrative staff.
  • Recruit, interview, hire, and train new employees.
  • Conduct performance evaluations and coaching.
  • Manage employee schedules, attendance, and time-off requests.
  • Promote teamwork, accountability, and a positive work culture.

Revenue Cycle & Billing Oversight

  • Monitor collections, copays, deductibles, and patient balances.
  • Work closely with billing and coding staff to resolve claims issues.

  • Ensure insurance information is accurate and up to date.

Insurance & Authorizations

Scheduling & Practice Growth

  • Manage provider templates and appointment scheduling.

  • Monitor no-show rates and implement improvement strategies.
  • Assist with patient retention and service excellence initiatives.

Compliance & Quality Assurance

  • Ensure compliance with HIPAA, OSHA, Medicare, and payer regulations.
  • Maintain staff training and competency records.
  • Prepare for audits, accreditation reviews, and inspections.
  • Monitor quality metrics and patient satisfaction.

Financial Management

  • Assist with budgeting and expense management.
  • Analyze office performance metrics and key performance indicators (KPIs).
  • Prepare administrative reports for physicians and leadership.
  • Monitor profitability and operational efficiencies.

  • 3+ years of medical office management experience preferred.
