We value teamwork, accountability, and continuous improvement—and we are looking for a strong Medical Office Manager to help lead our front-office and administrative operations.


Position Summary

The Medical Office Manager is responsible for overseeing daily clinic operations, supervising administrative staff, ensuring excellent patient experience, and maintaining compliance with practice policies and procedures. This role serves as the key liaison between providers, staff, and leadership to ensure smooth and efficient clinic function.


Key Responsibilities

  • Oversee day-to-day operations of the medical office to ensure efficiency, professionalism, and adherence to clinic standards
  • Ensure proper billing practices are in place
  • Help coordinate meetings
  • Supervise front desk and administrative staff; conduct regular check-ins, performance reviews, and coaching
  • Serve as the primary point of contact for providers regarding scheduling, workflow, and operational concerns
  • Address patient complaints and service issues promptly; ensure appropriate follow-up and resolution
  • Train and onboard new staff, ensuring all policies and procedures are clearly communicated
  • Monitor staff performance, document issues, and assist with Performance Improvement Plans (PIPs) when necessary
  • Enforce office policies, including attendance standards and workplace professionalism
  • Assist with system improvements, workflow optimization, and implementation of new processes
  • Coordinate with leadership on staffing needs, operational updates, and compliance matters
  • Ensure HIPAA compliance and maintain confidentiality at all times


Required Qualifications

  • Minimum 2–3 years of experience in medical office management or healthcare administration
  • Strong leadership, organizational, and communication skills
  • Experience supervising front desk or administrative staff
  • Knowledge of medical office workflows, insurance verification, and patient scheduling
  • Proficiency with EMR systems (eClinicalWorks preferred)
  • Ability to handle sensitive situations with professionalism and discretion

Preferred Qualifications

  • Experience in a specialty practice (pulmonary, sleep, cardiology, etc.)
  • Familiarity with performance management, staff training, and compliance processes
  • Bilingual (English/Spanish) is a plus
