Medical Office Front Desk / Medical Secretary

Position Summary

We are seeking an experienced and professional Medical Office Front Desk Secretary to join our busy medical practice. The ideal candidate is friendly, organized, detail-oriented, and able to thrive in a fast-paced healthcare environment while providing exceptional customer service to patients and supporting clinical and administrative staff.

Responsibilities

  • Greet patients professionally and provide excellent customer service.
  • Check patients in and out, collect copays, deductibles, and outstanding balances.
  • Verify insurance eligibility, referrals, and prior authorizations.
  • Review patient accounts and assist with collections and payment arrangements.
  • Maintain accurate patient demographics and insurance information.
  • Coordinate scheduling for office visits, testing, and follow-up appointments.
  • Manage provider schedules and assist with daily office workflow.
  • Communicate effectively with physicians, nurses, billers, referral coordinators, and other staff members.
  • Answer and route incoming phone calls in a courteous and professional manner.
  • Process medical records, referrals, and incoming correspondence.
  • Assist with maintaining a clean, organized, and welcoming office environment.
  • Follow HIPAA and all practice policies regarding patient confidentiality.
  • Identify workflow issues and proactively assist with office operations and process improvement.

Qualifications

  • Minimum of 2 years of medical office front desk experience preferred.
  • E clinical works (ECW) EMR experience preferred
  • Experience working in a high-volume, fast-paced medical practice.
  • Knowledge of medical insurance verification, authorization requirements, copay collection, and patient balances.
  • Experience coordinating with billing departments and clinical staff.
  • Strong organizational, multitasking, and communication skills.
  • Excellent customer service and patient relations skills.
  • Ability to work independently while also functioning as a team player.
  • Leadership qualities with a positive, professional attitude.
  • Self-motivated with a willingness to learn and take initiative.
  • Proficiency with Electronic Medical Records (EMR/EHR) systems and Microsoft Office.
  • Must be flexible to travel to other office locations
