We are looking for a full time office receptionist and administrative assistant for our growing law practice! Duties include, but are not limited to:

  • Setting up phones and computers for new team members
  • Maintaining an inventory of and purchasing office supplies
  • Processing incoming and outgoing mail
  • Engaging with clients in a manner that aligns with the firms core values
  • Create physical Client Files
  • Making Reservations / Lunch Orders
  • Preparing for in office appointments and consultations
  • Maintaining the firm master calendar
  • Keeping physical files maintained by scanning documents and filing away
  • Submitted IT support tickets
  • Checking voicemails and returning calls, as needed.
  • Assisting management with onboarding
  • Notarizing and acting as a witness for will signings
  • Answering and directing phone calls
  • Preparing for development events
  • Acting as a general assistant to paralegal and attorney staff.

Required Qualifications:

  • Minimum of 5 years of work experience in a professional office setting
  • Excellent communication skills both verbal and written.
  • Meticulous attention to detail and organizational skills.
  • Strong research and report-generating skills
  • Highly developed time management, organizational and prioritization skills with the ability to multitask
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint) AND Google Workspace, Internet research skills, document management systems, attorney time entry software.
  • Ability to operate office equipment and software
  • Ability to work independently as well as on a team

Desired Qualifications:

  • Experience working in MyCase case management system
  • Technology proficient and savvy
  • Active PA Notary or willing to obtain a notary license

Schedule:

  • 8 hour shift (8:30-5:00 M-F)
  • Monday to Friday
  • No weekends
