Role Under the supervision of the Director of Administration, the Administrative Coordinator works with Program Managers and the Administrative team to ensure that backend operations are running smoothly and office-related tasks are completed in a timely manner.

Description

Duties/Responsibilities

  • Support Program Managers and Administrative team by consistently providing strong and timely communication and administrative deliverables, and communicating with staff on behalf of the organization or specific program as requested.
  • Meet with the Administrative team weekly to provide project/administrative assignments updates and receive new assignments. 
  • Provide inventory control and management of office supplies for all People First locations.
  • Create and or order employee badges, business cards, sweatshirts, etc.
  • Organize the company Google Drive.
  • Coordinate, prepare, attend, and document meetings.
  • Schedule meetings between Evan and community leaders when requested via email.
  • Plan and organize quarterly All Staff Meetings.
  • Schedule an agenda planning meeting every three months, one week prior to the main meeting.
  • Book a room at the London Nelson Community Center three months in advance following each meeting.
  • Develop presentation slides and assign meeting roles based on planning notes.
  • Arrange or delegate snack procurement for meetings.
  • Coordinate staff trainings, track completion, and follow up on overdue items.
  • Maintain the training tracker spreadsheet.
  • Update organization-wide spreadsheets as required.
  • Participate in relevant professional development, workshops, and People First events.
  • Collaborate with the Accountant to collect receipts and maintain organized accounting records.
  • Help Program Managers gather and scan receipts.
  • Assist the Board with meeting scheduling, staff communication, and distributing materials beforehand.
  • Update The Free Guides with the Graphic Designer; coordinate triannual proofreading, printing, and distribution.
  • Draft and maintain the Monthly Staff Newsletter
  • Coordinate vehicle maintenance and servicing with Specialized Auto Inc. in Santa Cruz.
  • Inspect, clean, and manage monthly maintenance for all company vehicles.
  • Maintain the corporate car wash membership.
  • Execute other assigned job duties as required.


This position is a part-time, 20-hour nonexempt role without benefits. This position works onsite. The representative physical demands outlined here must be met by an employee to successfully perform the essential functions of this job, with or without reasonable accommodation.

Salary

$25.5 - $28 per hour
