About the Pennsylvania Democratic Party

We are seeking a dedicated and energetic Business Manager who will handle the day-to-day compliance and operations needs of the State Party.
Position Summary:
The Business Manager is responsible for managing the administrative backbone of the Pennsylvania Democratic Party. This position oversees office operations, HR functions, financial recordkeeping for compliance, vendor relations, and operational support for the State Party. The ideal candidate is resourceful, organized, deadline-driven, and capable of balancing multiple workflows in a fast-paced political environment.
Key Responsibilities:
- Manage the day-to-day logistics and administration of the Pennsylvania Democratic Party including overseeing budgeting related to regular State Committee meetings and events.
- Timely recordkeeping and data entry of revenue and expenses for compliance reporting purposes
- Communicate with the Executive Director regarding all finance/compliance issues.
- Assist with general office operations as needed.
- Analyze invoices/bills and determine which account(s) to pay them with.
- Pay invoices/bills on a weekly basis or as needed.
- Communicate with vendors regarding the progress of their invoices.
- Maintain a system of filing paid invoices/bills.
- Serve as the group administrator for employee benefits including health, dental, vision, and disability.
- Manage onboarding and off boarding of all Party employees and maintain employee files.
- Serve as a resource for employees regarding human resources issues.
- Work directly with compliance consultant to file the required reports with the Federal Election Commission monthly and the State Board of Elections quarterly.
- Ensure a functioning office environment - utility and internet set-up, IT, supplies, etc
- Maintain records of monetary and in-kind contributions to candidates and party committees.
- Utilize your resources to attain missing data needed to file reports.
- Address operations issues and needs from staff in a timely manner.
- Timely record keeping and data entry of revenue and expenses for compliance reporting purposes
- Maintain the organizational budget, forecasting revenue and expenses.
- Hire, train, and manage a team of operations staff to support various departmental responsibilities.
- Work closely with the Coordinated Campaign staff to maintain day-to-day spending, accurately track projected expenses, and oversee the coordinated campaign budget, including:
- Supporting the coordinated budget and regularly reconciling accounts
- Assisting with payroll processing, employee benefits, and reconciling benefit expenses
- Assisting with record keeping of revenue and expenses for compliance reporting purposes
Qualifications and Requirements:
- 2-3 years of experience of operations experience
- Strong commitment to electing Democrats at all levels of government.
- Exemplary time management, planning, organization and communications skills.
- Detail-oriented and able to prioritize and manage multiple projects.
- Capable of working both independently and with other departments in accomplishing goals.
- Some campaign finance experience or closely related non-profit development work is preferable.
