Key Responsibilities
- Patient Check-In/Out: Warmly greet patients and their guardians upon arrival, verify demographic and insurance information, and complete the check-out process efficiently.
- Schedule Management: Schedule, reschedule, and confirm patient appointments using our electronic health record (EHR) system, managing the physician's calendars effectively.
- Communication Hub: Answer multi-line phones with patience and professionalism, directing calls to nurses, physicians, or billing staff as appropriate.
- Billing & Insurance: Collect co-pays, process payments, and provide basic information regarding insurance verification and billing procedures.
- Confidentiality: Maintain strict adherence to HIPAA guidelines regarding patient privacy and the confidentiality of medical records.
- Office Environment: Ensure the waiting room is clean, safe, and child-friendly. Manage incoming faxes, mail, and general office supplies inventory.
- Administrative Support: Assist clinical staff with administrative tasks and manage patient forms and documentation accurately.
Qualifications and Skills
- Experience: Proven experience in a medical office, hospital, or clinical setting is highly preferred. Previous front desk or customer service experience is required.
- Software Proficiency: Familiarity with Electronic Health Record (EHR) software (e.g., Epic, Cerner, or specific pediatric systems) is a major plus. Proficiency in standard office software (MS Office, email, scheduling tools) is essential.
- Interpersonal Skills: Exceptional customer service skills with the ability to remain calm and empathetic when dealing with sick children, worried parents, and stressful situations.
- Organizational Skills: Strong attention to detail, highly organized, and capable of managing multiple priorities simultaneously.
- Education: High school diploma or equivalent required. Medical administrative assistant certification is a plus.
