The Administration and Operations Assistant plays a vital role in supporting the day-to-day operations of the firm, ensuring all studios run efficiently, professionally, and at a consistently high standard. This role works closely with leadership and cross-functional teams to coordinate office management, administrative functions, and operational workflows across the business. The ideal candidate is highly organized, proactive, and detail-oriented, with a strong sense of ownership and a willingness to jump in wherever needed. By supporting leadership with scheduling, reporting, and logistics, this individual helps keep the team aligned, supported, and moving forward. This is a dynamic, hands-on role for someone who thrives in a fast-paced, collaborative environment and enjoys bringing structure, clarity, and follow-through to a wide range of responsibilities.

Description

Responsibilities & Duties

Administrative & Operations

  • Manage calendars for Principals
  • Coordinate Principal & team travel arrangements 
  • Serve as primary liaison with IT for tech issues 
  • Manage office budgets & recurring expenses in partnership with Bookkeepers and Accountants 
  • Support VP of Operations and Purchasing Manager on data pulls & ongoing reporting needs
  • Provide administrative support to owners & VP of Operations as needed (presentation preparation, meeting scheduling etc)
  • Own new employee onboarding (scheduling, tech set up, etc)


Office & Intern Support 

  • Manage Interns in each studio, supporting them on various office management related functions
  • Coordinate office logistics & payments for cleaners, HVAC servicing, plumbers etc


Other Duties

  • Support various business functions on an as needed basis 
  • Administrative support Marketing 
  • Bookkeeping assistance
  • HR support
  • Organize company retreats and other outings 


 Qualifications & Skills

  • Bachelor’s degree in Business, Communications, Interior Design or related field
  • Minimum 3 years of work experience in Operations or other Generalist capacity
  • Proficient in Canva, Adobe Creative Suite (especially InDesign), Microsoft Office, and Mac OS. 
  • Excellent organizational, communication, and presentation skills.
  • Detail-oriented, creative, and eager to problem solve

 

Working Conditions

  • Full Time, 40 hours a week
  • Remote.Requires comfort working both independently and collaboratively with teams across multiple locations.


 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to occasionally stand, walk, bend, and reach as needed to review materials, samples, or perform site visits.
  • Ability to lift and carry up to 25 pounds (e.g., material boards, sample boxes, or presentation materials).
  • Must be able to clearly communicate with clients, team members, and vendors in both in-person and virtual settings.
