As our Administrative Assistant, you’ll help bring those moments to life, making employees and visitors feel welcomed, supported, and connected.


Reporting to the HR Manager and supporting the Executive Coordinator, you’ll help shape the day-to-day Parsecian experience through office coordination, onboarding logistics, internal events, leadership scheduling, and support. Depending on team needs, you may also assist with recruiting coordination and other HR projects—an opportunity to learn more about hiring and People Operations while contributing to a great employee experience.

This is an onsite, full-time, temporary, hourly position with benefits, providing coverage during a team member’s leave.


Responsibilities:

  • Help make our office a welcoming, organized, and enjoyable place for employees, visitors, and partners.
  • Be a friendly, professional first point of contact by greeting visitors, answering phones, and connecting people with the right resources.
  • Manage the company’s administrative work cell phone, monitor calls and messages, route inquiries appropriately, and ensure timely follow-up.
  • Keep day-to-day office operations running smoothly by managing supplies, coordinating vendors, ordering lunches, and responding to staff needs.
  • Take a hands-on approach to keeping shared spaces tidy and ready for use, including light cleaning, picking up, restocking supplies, and setting up and cleaning up after meetings and events.
  • Bring energy and creativity to employee activities, from Waffle Wednesday to team celebrations and recognition moments, helping everyone feel invited and excited to participate.
  • Create clear, thoughtful, and engaging communications that keep employees informed and connected.
  • Prepare materials and resources for presentations, meetings, and team initiatives.
  • Help new hires feel welcome by coordinating onboarding logistics, preparing materials and workspaces, and supporting a smooth first-day experience.
  • Assist with recruiting coordination and HR projects as needed, including scheduling interviews, preparing materials, and communicating with candidates.
  • Protect confidential employee, candidate, and company information with professionalism, sound judgment, and discretion.
  • Check company mailboxes daily to ensure timely delivery.
  • Run errands and provide on-the-ground support as needed.
  • Make thoughtful purchasing decisions, track expenses, and look for ways to create meaningful experiences while staying within budget.


Experience:

  • Proficiency with Google Workspace, Slack, and Canva.
  • A track record of handling sensitive information with integrity, discretion, and good judgment.
  • Experience planning and coordinating events or company initiatives, with attention to logistics, budgets, and the participant experience.
  • Experience in administrative support, office coordination, or a similar role that requires organization, follow-through, and thoughtful service.
  • An ability to help people feel welcome and encourage participation in workplace activities.


Requirements:

  • AA degree or a minimum of two years of experience in a similar role.
  • A strong commitment to confidentiality and the ability to maintain professional boundaries while building positive working relationships.
  • Strong communication, organization, and time-management skills.
  • Initiative, adaptability, and a willingness to handle both creative projects and routine office tasks.
  • Availability to work onsite in our Downtown Fresno office for the duration of the temporary assignment.
  • Ability to lift and move items weighing up to 30 pounds and use stairs multiple times a day, with or without reasonable accommodation.
