Key Responsibilities:
Construction Project Coordination:
- Collaborate with the project manager in coordinating procurement orders, ensuring timely review and approval to uphold project schedule deadlines.
- Accurately input project expenses and receipts into project management software, maintaining precise financial records.
- Manage the receipt of shipments and coordinate their timely delivery to job sites, aligning with project schedules and requirements.
- Prepare comprehensive job binders containing essential project documentation and specifications, ensuring all relevant information is readily accessible to project stakeholders.
- Assist in facilitating a smooth transition from the pre-construction phase to the construction phase, ensuring all necessary preparations and documentation are completed in a timely manner.
- Provide extensive administrative support throughout the construction process, including but not limited to document management, scheduling, and coordination of meetings and appointments.
Office and Shop Administration:
- Assist the office manager in handling administrative tasks, including inventory management of office supplies and maintenance of organized records.
- Facilitate effective communication between the office, field staff, subcontractors, and vendors to uphold construction protocols and contractual agreements.
- Handle incoming correspondence, calls, or inquiries from the call center related to leads or clients, providing prompt and professional assistance to address their needs and inquiries.
- Maintain meticulous records of subcontractors, ensuring that all certificates of insurance for general liability and workers' compensation insurance are current and compliant with project requirements.
- Collaborate with the accounting department to support bookkeeping and data entry of overhead expenses, working closely with the project accountant to ensure accurate financial records are maintained.
Additional Responsibilities:
- Coordinate with external vendors and service providers to arrange necessary services and supplies, fostering strong relationships to support project objectives and timelines.
- Assist in the preparation of project reports, presentations, and other documentation as needed, contributing to effective communication and transparency throughout the organization.
- Provide general office support as required, including but not limited to filing, scanning, copying, and other clerical tasks to maintain an organized and efficient work environment.
- Continuously seek opportunities for process improvement and optimization within both construction and office operations, contributing to the overall success and growth of the organization.

Qualifications:
- Associate's Degree or in Pursuit of a College Degree or Career Certificates in business administration, project management, or a related field is preferred.
- Previous experience in an administrative or project coordination role is beneficial but not required.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and willingness to learn project management software.
- Experience with Asana, Google Suite, Quickbooks Online, and BuilderTrend is a plus but not required.
- Ability to follow established procedures and checklists.
- Ability to multitask and manage multiple priorities in a fast-paced environment.
- Knowledge of local building codes and permitting processes is a plus.
