Key Responsibilities:
- Documentation and Record Keeping:
- Maintain project files and documentation following established checklists and procedures.
- Organize and manage permit applications, supporting documents, and correspondence.
- Track open permits in the project property’s jurisdiction’s online portal and ensure all expired permits are addressed.
- Scheduling and Coordination:
- Schedule and coordinate meetings, consultations, and site visits following established protocols.
- Assist in maintaining the project calendar, tracking deadlines, and milestones for each phase and sprint cycle.
- Support the preparation and distribution of meeting agendas, minutes, and follow-up action items.
- Communication and Liaison:
- Serve as a point of contact for internal team members and external partners, following established communication protocols.
- Assist in coordinating with clients to complete design questionnaires and gather feedback on design preferences.
- Ensure clients are informed and involved at each stage of the project, following established procedures.
- Permit and Compliance Management:
- Assist the Permit Coordinator in preparing and submitting permit applications, following established procedures.
- Monitor the status of permit applications and facilitate the resolution of any issues or feedback from permit reviewers.
- Ensure all necessary permits (demolition, roll-off container, electrical, mechanical, plumbing, etc.) are obtained and up-to-date.
- Design and Selection Support:
- Assist the Design Assistant in creating and organizing inspiration boards and client questionnaires.
- Coordinate design selection sessions, following established guidelines and procedures.
- Compile and organize client selections into a finish schedule for review and approval.
- Budget and Financial Support:
- Support the Project Accounting Bookkeeper in updating the project budget regularly, following established processes.
- Assist in tracking project costs and maintaining budget records within a 2% range of the total project cost.
- General Administrative Tasks:
- Follow established protocols for preparing and distributing project-related documents and reports as needed.
- Assist with procurement tasks, ensuring timely ordering and delivery of materials and fixtures following established procedures.
- Provide ad hoc administrative support for projects with special requests or outside the normal process, following directions from the manager.
Qualifications:
- Associate's Degree or in Pursuit of a College Degree or Career Certificates in business administration, project management, or a related field is preferred.
- Previous experience in an administrative or project coordination role is beneficial but not required.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and willingness to learn project management software.
- Experience with Asana, Google Suite, and BuilderTrend is a plus but not required.
- Ability to follow established procedures and checklists.
- Ability to multitask and manage multiple priorities in a fast-paced environment.
- Knowledge of local building codes and permitting processes is a plus.
