Job Title: Administrative Assistant to Practice Manager – Surgical Office

Location: Center City, Philadelphia

Schedule: Monday–Thursday, 8:00 AM–6:00 PM (In-Office)

Key Responsibilities:

  • Provide comprehensive administrative support to the Practice Manager, including managing correspondence, scheduling appointments, and organizing meetings.
  • Conduct background research and present findings to assist in decision-making processes.
  • Oversee and maintain office systems, including data management and filing.
  • Handle incoming communications—calls, emails, and mail—efficiently, directing them appropriately.
  • Assist Practice manager with organization and documentation of projects
  • Coordinate travel arrangements, prepare expense reports, and manage office supplies inventory.
  • Assist in planning and organizing events, meetings, and conferences as needed.

Qualifications:

  • Proven experience as an administrative assistant, personal assistant, or in a similar role.
  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Strong research abilities, demonstrating initiative and problem-solving skills.
  • Excellent verbal and written communication skills.
  • High level of discretion and confidentiality, especially concerning sensitive information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Comfortable working in a surgical office setting and interacting with patients.
  • Ability to work independently and collaboratively within a team.

Preferred Qualifications:

  • Experience in a medical or healthcare administrative setting.
  • Knowledge of medical terminology and electronic medical records (EMR) systems.


Salary

$20 - $25 per hour
