Parity is seeking a part-time, 1099 Office Manager to support us with mail organization, sorting, data entry, and delegation. As Office Manager you will play a pivotal role in efficiently managing the influx of paper mail received by our start-up homebuilding company and converting physical mail into digital formats, organizing and categorizing it, and ensuring that relevant action items are identified and appropriately delegated. This role requires excellent organizational skills, effective communication, and a proactive approach to handling incoming mail. This role is requires you to come into our office located in Fells Point, Baltimore, MD once every two weeks, and should total no more than 10 hours per month.

Key Responsibilities


Mail Processing

  • Receive, sort, and process all incoming mail.
  • Scan paper mail documents to create digital files.
  • Save and organize digital mail files into the appropriate server folders.
  • Maintain a well-organized and easily accessible digital mail archive.


Communication

  • Discuss key action items from the mail with the CEO to ensure a clear understanding of priorities.
  • Collaborate with the CEO to establish the urgency and importance of tasks derived from the mail.


Delegation

  • Delegate identified action items to the relevant stakeholders, ensuring that responsibilities are clearly defined and understood.
  • Follow up on the progress of delegated tasks and facilitate communication among team members as necessary.


Efficiency and Optimization

  • Establish efficient documentation and filing systems to streamline future processes.
  • Continuously seek ways to improve mail processing procedures and implement cost-effective, time-saving measures.
  • Identify and recommend tools or technologies that can enhance the efficiency of mail management.


Administrative Support

  • Provide administrative support as needed to ensure the smooth operation of the office.
  • Assist with ordering office supplies, and other office-related tasks.


Requirements

  • Proven experience in office management or a related administrative role.
  • You are a strategic, process-oriented, systems-design thinker and you can maneuver between high-level goals and very specific tasks to create systems.
  • You have excellent project management skills, and the ability to oversee an initiative from conception to delivery.
  • You are a self-starter, comfortable with working autonomously, and able to hold yourself to self-appointed deliverables.
  • You have a high attention to detail, are thorough, and evaluate your work product for errors.
  • Experience with Microsoft Word, PowerPoint, Excel, SharePoint, Outlook, Airtable.
  • Strong problem-solving skills and the ability to prioritize tasks effectively.
  • Familiarity with mail scanning equipment and document management systems.


Salary & Location

  • $20/hr
  • Must be located in the Baltimore metropolitan area (within 90 minute commute)
  • Two days per month in-person at our offices located in Fells Point, Baltimore
  • The time expectation is approximately 10-15 hours per month
