Overview:
We are seeking a friendly, organized, and dependable Patient Coordinator to join our busy oral surgery office. This individual will be the first point of contact for our patients and referring offices, playing a vital role in ensuring smooth and efficient office operations. Attention to detail is essential, along with the ability to comfortably manage a high volume of patient interactions both in person and over the phone.

The Patient Coordinator will be responsible for overseeing the patient check-in process, managing heavy phone activity, and ensuring that all necessary documentation—such as registration paperwork, referral notes, x-rays, and orders—are received and complete prior to scheduled appointments. This position requires a proactive communicator who can verify insurance benefits, assist with treatment coordination, and contribute to an excellent overall patient experience.
Primary Responsibilities:
- Greet and check-in patients upon arrival
- Handle high-volume phone activity, including scheduling, rescheduling, and answering patient inquiries
- Verify registration paperwork, referrals, imaging, and surgical orders are received and complete prior to scheduled appointments
- Communicate with referring offices to collect missing documentation or clarify treatment details
- Conduct insurance verification and obtain any required authorizations
- Ensure patient records are accurately maintained and updated in the system
- Coordinate with clinical and surgical teams to ensure patients are prepared for their appointments
- Collect co-pays, review financial policies with patients, and process payments
- Assist with various administrative tasks to support office efficiency
- Maintain confidentiality of patient information in compliance with HIPAA regulations
Preferred Qualifications:
- Minimum 2 years of experience in a dental, oral surgery, or medical front office setting
- Experience with dental practice management software (Knowledge of WinOMS/Sensei is a plus)
- Familiarity with insurance verification processes for medical and dental plans
- Strong interpersonal and customer service skills and a patient-centered attitude
- Ability to manage multiple priorities and work efficiently in a fast-paced environment
- Bilingual (English/Spanish) preferred but not required
