Optimize Consulting LLC Development Coordinator Remote · Full time Company website

The Development Coordinator supports Optimize Consulting's major gifts and grants work. You handle the research, data, and coordination behind that work so clients go into every donor and foundation conversation prepared: wealth screens and donor profiles, prospect and foundation lists, CRM records, and meeting preparation. Many of our nonprofit clients are libertarian and conservative advocacy organizations, and you will research and contact donors and foundations on their behalf. You report to the Major Gifts Consultant and the Grants & Foundations Consultant and start with a structured onboarding on our clients, services, and tools. This is an entry-level role with no minimum years of experience.

About Optimize Consulting LLC

Optimize Consulting is a revenue operations and moves management firm. We help organizations of any size transform how revenue flows through them. Our clients range from some of the most respected nonprofits working for free markets and free people to global enterprises and growing businesses, and our work has helped them generate more than $125 million in revenue.

We bring enterprise-level strategy and technology to every engagement and run our own firm the same way. Shared methodologies like Getting Things Done keep our fully remote team aligned and working ahead, so deadlines rarely turn into fire drills.

We are partner-owned, independent, and growing quickly. If you have spent years grinding inside a nonprofit or agency and want work you can be proud of without giving up your evenings, Optimize Consulting is built for you.

Description

What You'll Do

  • Run wealth screens in iWave and build donor profiles and meeting briefs covering giving capacity, giving history, and interests for consultants, clients, and new business conversations.
  • Build prospect and foundation lists for client campaigns, events, donor meetings, and travel, and flag current donors who may be ready for a larger gift.
  • Contact donors, prospects, and foundation offices by phone, email, text, and mail to schedule meetings with clients, secure event attendance, and confirm contacts and application guidelines.
  • Draft follow-up messages for clients to send donors after meetings and events, and make sure each next step is recorded and completed.
  • Keep gifts, pledges, contact history, and moves management stages current in HubSpot, Salesforce, Virtuous, and other client CRMs, correct errors and duplicates as you find them, and pull data and reports when consultants or clients need them.
  • Support the Grants & Foundations Consultant: track grant deadlines and requirements, and help assemble proposals, reports, and supporting documents.
  • Support cultivation events: manage invitation lists, track RSVPs, prepare background briefs on attendees, and coordinate follow-up afterward.

What Success Looks Like

At 90 days, you complete screens, profiles, and CRM updates on your own with light review, and consultants hand you requests without step-by-step instructions. At one year, you run day-to-day research and coordination across the consultants' client accounts, clients go into donor and foundation meetings with your briefings in hand, and you suggest new prospects before anyone asks.

What You Bring

  • Comfort talking with people you have never met: you can call a donor, a foundation office, or a client contact and keep the conversation professional and friendly.
  • Quick learning: you take on unfamiliar work before you feel fully ready, ask focused questions, and apply feedback the first time.
  • Research and writing: you find information online, judge whether a source is reliable, and summarize what matters in a short, clear profile.
  • Discretion: you handle confidential donor and financial information carefully.
  • Accuracy and organization: you enter data carefully, track requests from several consultants at once, and hit due dates.
  • Ownership of your own week: you plan your work, keep commitments without reminders, and raise problems early.

  • A development internship, fellowship, or entry-level fundraising role, such as the Koch Internship Program (KIP) or Koch Associate Program (KAP)
  • Experience with a CRM such as HubSpot, Salesforce, or Virtuous, or a prospect research tool such as iWave
