We are looking for a highly organized and proactive Administrative Assistant to provide essential support to our operations. The ideal candidate will be detail-oriented, a strong communicator, and capable of managing multiple tasks efficiently. This role plays a crucial part in ensuring that our administrative processes run smoothly and effectively. The right candidate will be working closely with the CEO to ensure key activities operate smoothly. Hours would be Monday through Friday 9am to 5pm.

Key Responsibilities:

  • Office Management: Maintain a well-organized and efficient office environment, including managing office supplies, equipment, and vendor relationships.
  • Calendar and Scheduling: Coordinate appointments, meetings, and travel arrangements for team members, ensuring optimal time management.
  • Communication: Manage incoming and outgoing communications, including answering phone calls, emails, and directing inquiries to the appropriate personnel.
  • Document Management: Assist in creating, formatting, and distributing documents, reports, and presentations. Maintain digital and physical filing systems.
  • Meeting Support: Prepare meeting agendas, take minutes, and distribute meeting materials. Ensure meeting rooms are set up with necessary technology.
  • Data Entry: Accurately enter and update data in spreadsheets and databases, maintaining data integrity and confidentiality.
  • Visitor Reception: Greet and assist visitors, clients, and guests, providing a professional and welcoming experience.
  • Assist HR: Support HR tasks such as recruitment, onboarding, and personnel record maintenance.


  • Proven qualifications in Office Administration or related field.
  • Aptitude for learning new software and systems.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
  • Exceptional organizational and multitasking abilities.
  • Superb written and verbal communication skills.
  • Attention to detail and excellent problem-solving skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Positive attitude and willingness to take initiative.
