About the Role
We're seeking a proactive and detail-oriented Office Manager to support our growing tax team in our Bay Area offices. This hybrid role requires regular presence in our San Mateo office (2–3 days/week) and San Jose office (1–2 days/week). You’ll be the organizational backbone of our offices—supporting operations, enhancing client experience, and enabling our tax directors to deliver high-quality work. This role reports to the COO.
This is not a static role. As we grow as a company and digitize more of our operations, this position will evolve into a more technical and systems-focused function. We’re looking for someone excited to grow with us.
Responsibilities
- Receive and process client documents; maintain document flow
- Answer incoming calls and route or respond professionally
- Support 4 Tax Directors with meeting scheduling logistics
- Manage office and kitchen supply ordering for both locations
- Respond to basic client inquiries regarding their tax returns
- Serve as primary liaison with building management
- Organize and scan paper tax documents
- Assist in assembling tax returns
- Oversee outgoing mail and delivery coordination
- Coordinate with IT to maintain office equipment and troubleshoot issues
- Develop and improve operational workflows as the role evolves
Skills & Experience
- Experience in office administration or operations
- Strong organizational skills and a process-oriented mindset
- Customer service experience, ideally in a professional services environment
- Familiarity with the tax preparation process is a plus
- Tech-comfortable and eager to grow into a more technical/automation-focused role
- Strong problem-solving skills and attention to detail
- Previous experience with fintech or similarly regulated space
- A high level of EQ, personal drive, and professionalism that adheres to the OLarry Core Pillars.
