Description

Okularity is seeking a full-time Manager, Case Operations to serve as a trusted right hand in managing photography copyright infringement mitigation matters involving media companies, brands, agencies, law firms, public figures, and online publishers.

This is a detail-heavy, high-trust role for someone who is exceptionally organized, precise, visually sharp, and polished in written communication. The core responsibility is helping turn large volumes of raw data into accurate, well-documented, professional case materials.

The ideal candidate will be able to review and match photographs, run targeted reports, assemble evidence, cross-check license fee data, catalog findings, and edit demand letter templates with accuracy and discretion. Photography experience is a plus, but excellent judgment, careful proofreading, and strong attention to detail are essential.

Responsibilities

  • Review found online uses of photographs and compare them against client-owned photographs.
  • Identify true matches, possible matches, false positives, cropped images, edited images, screenshots, reposts, and other modified uses.
  • Run targeted reports from internal systems and organize results into clean, usable case materials.
  • Assemble and catalog supporting evidence, including URLs, screenshots, image records, dates, ownership information, usage details, and publication data.
  • Cross-check matters against license fee data, client records, prior usage history, ownership information, and internal case notes.
  • Prepare, update, and edit demand letter templates using matter-specific facts and supporting documentation.
  • Proofread Word documents, correspondence, case summaries, and related materials for grammar, formatting, consistency, and accuracy.
  • Help manage and prioritize matters based on match confidence, documentation strength, client ownership, and potential value.
  • Correspond professionally with lawyers, companies, media organizations, agencies, and other outside parties.
  • Maintain organized records and ensure case information is accurately entered and updated.
  • Escalate uncertain, unusual, sensitive, or high-value matters for further review.
  • Handle confidential client, business, legal, and celebrity-related information with discretion.

Qualifications

  • Exceptional attention to detail and accuracy.
  • Excellent writing, editing, proofreading, and document-formatting skills.
  • Strong visual judgment and ability to compare images carefully.
  • Ability to work through large volumes of data without losing precision.
  • Strong organizational skills and ability to manage multiple matters at once.
  • Comfortable using Word, spreadsheets, databases, dashboards, and web-based systems.
  • Professional judgment and polished communication style.
  • Ability to follow detailed instructions while also thinking critically.
  • High degree of reliability, discretion, and ownership.
  • Photography, photo editing, licensing, copyright, media, legal operations, paralegal, or case management experience is a plus.

Ideal Candidate

The right person is meticulous, trustworthy, and calm under detail-heavy work. They can spot subtle differences between images, catch typos before they become problems, organize information clearly, and communicate in a way that reflects well on the company. This person will wear multiple hats, but must be excellent at the core work: reviewing image matches, assembling evidence, cross-checking data, and preparing polished case materials.

Salary
