The Medical Assistant will perform administrative duties, clinical lab procedures, including both onsite and offsite screens, preparing the samples for testing, running the tests, maintaining lab records, communicating results with the Nurse Care Manager, and notifying patients of test results or reminding them of upcoming tests that need to be done. Serving and providing our clients with a safe environment promoting long term recovery. The Medical Assistant will partner with other specific members of the team to establish and maintain a therapeutic environment to our clients. This is a full-time position requiring 40 hours of work per week Monday-Friday.

Medical Assistant

 

Duties/Responsibilities:

  • Collecting and preparing laboratory specimens.
  • Complete LabCorp Forms and ensure all lab pickups are scheduled and go out daily.
  • Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist, manage the intake forms process, answer practice related questions).
  • Prepare clients for examination, recording of vital signs, asking the client preliminary questions, and escorting the patient to the exam room.
  • Provide lab work and referrals for additional follow up care.
  • Interview patients and document basic medical history.
  • Maintain and keep updated all medical reports and documentation pertaining to clients.
  • Purchasing and ordering of medical supplies.
  • Prepare and clean treatment rooms and medical instruments.
  • Assists Nurse Practitioner with exams, treatments, diagnostic tests, and procedures.
  • Set up basic diagnostic tests ordered by the Nurse Practitioner.
  • Give patients instructions for medications and other directions from the Nurse Practitioner.
  • Educate clients about Suboxone maintenance and detoxification as well as side effects and provides education to clients on lab results and all medical matters.
  • Assists in education with pregnant patients about prenatal care and assists primary counselor in coordinating outside services as needed.
  • Communicate between Patients and nurse practioner.
  • Assists Client Care Coordinator (Front Office) with front desk duties.
  • Add client information into the EHR and send intake forms through IntakeQ.
  • Perform insurance verification checks and send out weekly claims.
  • Obtain Insurance Authorizations for Intensive Outpatient Treatment (IOP).
  • Manage the practice client EHR scheduling calendar.
  • Coordinate with clinicians on filling their schedules.
  • Provide direction to clinicians and administration teams on best practices for improving scheduling process.
  • Ability to identify areas where we need improvement in client intake process and initiate the improvement measures.
  • Stay highly organized.
  • High attention to detail and ability to prioritize various projects independently.
  • Passion for working with others (being collaborative) and helping our team members grow and learn.
  • Ability to handle and provide straight-forward feedback to the administrative team members.
  • Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
  • Ability to set goals and develop achievable timelines to hit them.
  • Other duties as may be assigned.

 

Qualifications and Skills:

  • Certification as Medical Assistant, Registered Medical Assistant, or proven work experience as a Medical Assistant or Medical Secretary.
  • Knowledge of medical office management systems and procedures.

  • Be able to lead and manage client intake and scheduling.
  • Must be punctual in reporting to work.
  • Be organized and detail oriented.
