Description

Nonprofit Resources Position: Full-Charge Bookkeeper 

 

The Full-Charge Bookkeeper reports directly to the Director of Finance. This role is responsible for independently maintaining full-cycle accounting records and preparing timely, accurate financial information for assigned entities. The position performs recurring transaction processing, account reconciliation, adjusting entries, period-end close, workpaper preparation, and financial statement preparation in accordance with established procedures and deadlines. 

 

The Full-Charge Bookkeeper is expected to investigate discrepancies, self-review completed work, research unfamiliar matters, develop proposed solutions, escalate material, unusual, sensitive, or unresolved issues with relevant support.  

 

Accounting Operations and Period-End Close 

  • Process and review recurring financial activity, including accounts payable, accounts receivable, cash receipts, deposits, expense reimbursements, payroll-related activity, and other transactions as assigned. 
  • Perform and complete monthly and year-end closing activities using established checklists, workpapers, and deadlines. 
  • Review the general ledger for completeness, accuracy, and appropriate classification and investigate activity that appears missing, duplicated, unusual, or inconsistent. 
  • Prepare recurring and adjusting journal entries, including accruals, deferrals, allocations, depreciation, payroll-related entries, investment activity, and other entries as applicable. 
  • Reconcile bank, credit card, accounts receivable, accounts payable, payroll, fixed asset, investment, intercompany, net asset/equity, and other general ledger accounts as assigned. 
  • Prepare complete, accurate, and current workpapers supporting balance sheet accounts, and identify and resolve or clearly document reconciling items. 
  • Maintain supporting schedules for fixed assets, prepaid expenses, deferred revenue, investments, grants, restricted funds, net assets/equity, and other accounts as applicable. 
  • Prepare accurate and timely draft financial statements and other financial reports for review and approval. 
  • Perform analytical review of financial statements and general ledger activity to identify unreasonable balances, unexpected variances, missing transactions, misclassifications, and other potential errors. 
  • Support annual audits, tax filings, and other external reporting requirements by preparing requested schedules and documentation. 

 

Account Quality and Problem Resolution 

  • Investigate discrepancies to their source by tracing activity to underlying records, system reports, prior-period information, and other reliable support, and make appropriate supported corrections. 
  • Research routine unfamiliar matters using established procedures and available resources. When assistance or escalation is needed, present the Director of Finance with the relevant facts, research performed, supporting documentation, proposed solution and accounting treatment, and any remaining questions. 
  • Correct identified errors promptly, incorporate review feedback into future work, and communicate recurring errors, unclear procedures, system issues, or process gaps. 
  • Escalate material, unusual, sensitive, or unresolved matters to the Director of Finance in a timely manner with relevant support and a recommended course of action when possible. 

 

Procedures, Documentation, and Internal Controls 

  • Follow established accounting procedures, month-end checklists, approval requirements, and internal controls. 
  • Maintain organized digital records and ensure workpapers and transaction support are complete, current, and accessible to authorized reviewers. 
  • Document entity-specific processes, recurring entries, account support, and changes in procedures as assigned. 
  • Recommend and assist with practical improvements to workpapers, checklists, workflows, documentation, and accounting systems. 

 

Client and Internal Communication 

  • Communicate accounting information and outstanding needs clearly and professionally to client staff and volunteers, Nonprofit Resources team members, and external parties. 
  • Coordinate with client staff, volunteers, auditors, tax professionals, financial institutions, and other service providers as assigned. 
  • Attend client, department, and organizational meetings as required and prepare requested financial information. 
  • Respond to questions and requests within established timelines and communicate proactively regarding missing information, approaching deadlines, unresolved discrepancies, potential reporting issues, and workload conflicts. 

 

Workload and Administrative Responsibilities 

  • Manage recurring accounting responsibilities for multiple entities with differing deadlines, processes, and reporting requirements. 
  • Prioritize assigned work independently, track outstanding matters, and follow through to resolution. 
  • Learn and accurately use accounting, banking, payroll, expense management, document management, and collaboration systems. 
  • Maintain accurate daily time records categorized by client and service item. 
  • Maintain the confidentiality and security of financial, employee, organizational, and client information. 
  • Perform other duties consistent with the position’s level of responsibility.

Required Qualifications 

  • Three or more years of progressively responsible bookkeeping or accounting experience, including independent responsibility for full-cycle accounting and period-end closing activities. 
  • Experience preparing journal entries, account reconciliations, supporting workpapers, and financial statements. 
  • Working knowledge of accrual-basis accounting and generally accepted accounting principles. 
  • Experience investigating and resolving accounting discrepancies. 
  • Proficiency with accounting software and Microsoft Office, including Excel. 
  • Ability to independently organize and complete accurate work in a fully remote environment. 
  • Ability to manage recurring responsibilities and deadlines for multiple entities or clients. 
  • Ability to communicate accounting matters clearly and professionally. 

 

Preferred Qualifications 

  • Postsecondary education in accounting, finance, or a related field, or an equivalent combination of education and relevant experience. 
  • Experience with QuickBooks Online. 
  • Experience with nonprofit, association, or fund accounting, including net assets, restricted funds, grants, membership dues, investments, and audit preparation. 
  • Experience assuming responsibility for unfamiliar or incomplete accounting records. 
  • Experience with payroll systems, expense management systems, banking platforms, or association management software. 
  • Proficiency with macOS. 

 

Tools & Technology 


The position regularly uses QuickBooks Online, Microsoft Excel, Microsoft Teams, SharePoint, Adobe Acrobat, banking platforms, payroll systems, expense management systems, AMS (Association Management Software) systems, and other organization- or client-specific software. 


Nonprofit Resources provides MacBook Pros as standard hardware. Proficiency with macOS is preferred; willingness and ability to become proficient with macOS is required.

Work Location:

  • Remote- this role may require physical presence in South Dakota several times a year.


Salary

$22 - $26 per hour
