Working closely with the Association Director, and Programs Committee, the Event Manager will play an integral part in supporting and leading the Association’s Events and Educational offerings.

Position Summary: Working closely with the Association Director, and Programs Committee, the Event Manager will play an integral part in supporting and leading the Association’s Events and Educational offerings.

Overall Responsibilities:

  • Design educational activities and events to meet the strategic goals of the client.
  • Oversee and facilitate all aspects of educational planning from working with education committees on content selection, delivery format, site selection, vendor negotiation, event registration, marketing, speaker management, onsite staffing, and post-event reporting.
  • Develop copy for websites, brochures, sponsor prospectus, and registration forms for promotion of education and events.
  • Lead communications with client membership on events, including weekly e-newsletters, social media, website, or other promotional outlets.
  • Financial accountability to include budget preparation, reconciliation, processing travel expense reports, or working with suppliers on contract minimums.
  • Lead client planning committee calls and follow up on outlined action plans.
  • Negotiate contracts with venues for meeting space, food and beverage, overnight room rates, or off-site events.
  • Responsible for event logistics such as timelines, ensuring adequate meeting space, staff and presenter travel arrangements, food and beverage selection, audio/visual support, and all necessary details for implementing events.
  • Prepare all event materials such as name tags, tent cards, agendas, handouts on the mobile app, copy for signage, etc.
  • Manage applying for and tracking continuing education credits for training and conferences.
  • Maintain accurate databases and records for client archives, including data entry.
  • Work directly with sponsors and exhibitors through the entire process from sales to execution; ensuring all sponsor deliverables are complete.
  • Provide on-site leadership for training and conferences.


Preferred Qualifications:

  • Five years of experience in event management and planning.
  • Certified Meeting Planner (CMP) is strongly preferred.
  • A bachelor’s degree in a related field or equivalent relevant work experience.
  • Healthcare accreditation experience preferred.
  • Strong customer service focus.
  • Superior verbal and written communication skills.
  • Excellent project management skills.
  • Effective organizational skills including the ability to proactively pre-plan event logistics, identify potential problem areas, and bring appropriate solutions.
  • Ability to execute tasks in a thorough, accurate, and timely fashion while managing multiple competing priorities.
  • Proficient in Microsoft Office suite (Excel, Word, PowerPoint, Teams, and Outlook), Asana, and Zoom
  • Experience with association management software and/or online event management software.
  • Ability to travel up to 20% of the time.
