Position Summary

The Operations & Family Support Coordinator will support front office operations, family communication, enrollment support, Grow NJ Kids initiatives, and family engagement efforts. This individual will collaborate closely with center leadership, staff, families, and district personnel to help maintain smooth daily operations and strong family partnerships.


Responsibilities

Administrative & Operational Support

• Assist in answering phones, emails, and Brightwheel messages

• Greet families, visitors, and prospective families

• Assist with scheduling tours and responding to enrollment inquiries

• Help manage front entrance security, doors, and daily building operations

• Help organize and maintain children’s files, staff paperwork, licensing documentation, and compliance records

• Support Grow NJ Kids documentation, organization, and quality improvement initiatives

• Coordinate office organization, supply inventory, and operational systems throughout the building

• Prepare paperwork, forms, reminders, newsletters, and family communications

• Assist directors with administrative tasks and special projects

• Help maintain a clean, organized, professional office and common areas


Family Engagement & District Partnership Support

• Collaborate with district staff and childcare staff to support family engagement activities and social service initiatives

• Encourage and assist families in participating in district-sponsored parent involvement activities and events

• Coordinate participation in health, mental health, social service, and family support programs designated by the District

• Help connect families with appropriate community resources and services as needed

• Maintain ongoing communication with families to support student success and family well-being

• Complete required family outreach and maintain documentation in accordance with district partnership expectations

• Maintain accurate documentation, records, and reports related to family engagement activities

• Collaborate with district social services personnel and support district partnership requirements as needed

• Maintain confidentiality and professionalism at all times


Qualifications

• Strong organizational, communication, and interpersonal skills

• Ability to multitask and prioritize responsibilities in a fast-paced environment

• Professional demeanor and positive attitude

• Comfortable using technology, email, and communication platforms

• Proficiency in Microsoft Office programs including Word, Excel, Outlook, and PowerPoint

• Ability to work independently and collaboratively with staff, families, and community partners

• Experience in childcare, education, office administration, family services, or customer service preferred

• Associate’s or Bachelor’s degree in education, human services, psychology, social work, administration, or related field preferred


Preferred Experience

• Childcare center, school, or educational setting experience

• Familiarity with Brightwheel or similar childcare management systems

• Familiarity with NJ childcare licensing, Grow NJ Kids, or district partnership programs preferred but not required


Schedule

• Full-Time Position

• Monday-Friday

• Typical hours approximately 8:30am-4:30pm or 9:00am-5:00pm

• Occasional evening hours may be required for family events or meetings

Salary

$18 - $24 per hour
