We are looking for a professional administrative assistant to help manage the day to day operations. We are looking for someone with experience (either through volunteerism or previous work) in social justice, voting rights advocacy, or related nonprofit experience.

ORGANIZATION


Founded in 2021 by Dr. Aimy Steele, New North Carolina Project (NNCP) exists to lift Black and Brown people. We work to help communities of color claim their power through civic engagement.


POSITION


The Administrative Assistant to the Senior Staff will report directly to the CEO and will interact with the Board of Directors and the senior leadership team. The Administrative Assistant is a process-minded person with experience in assisting senior level staff in accomplishing their goals.


This position will help manage our day to day operations. Responsibilities include basic bookkeeping, mail and email management, event support, database management and general office support. 


This is a part-time position, with the possibility of going full-time. There is some flexibility in scheduling and work may require evenings and weekends.


Because our target communities and colleagues come from a wide range of backgrounds, this position needs to be able to thoughtfully navigate issues related to diversity, race, equity and inclusion, and bring a deep commitment to advancing these values. The incumbent will also need to bring a strong commitment to excellence and true collaboration.

Additionally, this position has recurring work situations that involve having a high degree of discretion. The need for accuracy, confidentiality, and effective utilization of resources and routines is high.


Essential Functions: 

  1. Administrative Support: This position is responsible for providing general administrative support as needed, including but not limited to:  
  2. Working directly with CEO to maintain calendar appointments and schedule meetings, coordinate with community partners and schedule speaking engagements
  3. Purchase office supplies, merchandise, field supplies and logo apparel 
  4. Prepare for Board of Directors meetings by printing agendas, minutes, and other documents  
  5. Maintain organizational files and documents (paper and electronic)   
  6. Assist with management of donor database 
  7. responding to emails and partner requests
  8. Perform basic data entry of donations and work with Finance Firm and Accounting to ensure accurate records  
  9. Perform general administrative support 
  10. Attend meetings and assist in decision-making process with vendors and potential community partners
  11. Assist with Volunteer Management in collaboration with the Field Coordinator and Organizers

2. Special Events

  1. Coordinate NNCP tabling at community events in collaboration with the Field Coordinator and Organizers
  2. Assist with coordination of event logistics 


4. Additional tasks as directed by the CEO/COO


Qualifications:  

  1. Minimum two years related experience; nonprofit experience a plus
  2. Prior work in social justice, civic engagement, voting rights or related   
  3. Canva, creative development experience is a plus
  4. Website creation, development, or maintenance preferred
  5. Proficiency with spreadsheets, databases, and word processing
  6. Familiarity with EveryAction/NGP/Votebuilder is a plus. 
  7. Ability to multitask and prioritize in a dynamic work environment.  
  8. Strong attention to detail and ability to work as a team member with minimal supervision
  9. Solid written and oral communication skills and excellent phone manner
  10. Ability to develop effective work plans, organize details, set priorities, and meet deadlines  
  11. Ability to operate and troubleshoot standard office equipment
