JOB SUMMARY 

The National Black Child Development Institute’s Executive Assistant to the President plays a pivotal role in optimizing the President’s effectiveness and productivity. This role will act as the primary liaison between the President and various stakeholders, ensuring seamless communication, meticulous time management, and strategic engagement. This role requires a combination of administrative prowess, emotional intelligence, and proactive problem-solving skills to anticipate and address the President’s needs effectively.


ESSENTIAL JOB FUNCTIONS

Project Management and Communication

  • Conduct thorough research and analysis to gather pertinent information for the President’s engagements, both virtual and in-person.
  • Prepare comprehensive briefings to equip the President with the necessary insights and context for impactful interactions.
  • Serve as project manager for President’s calendar, inbox, and time management, resolving any scheduling issues proactively and with emotional intelligence.
  • Function as the initial point of contact for the President, and engage with excellence in improving the President’s communication, time management, planning, coordination, and alignment with overall organizational goals.
  • Manage end to end travel coordination for the President, providing attentive support while she is on travel and at key stakeholder events; needs should be anticipated and attended to.
  • Responsible for planning and facilitating key connections and conversations with potential funders, and partners, and the related ongoing relational management.  
  • Manage the President’s contact list, agenda, process lags, networking gaps, and assist actively with funder relationship cultivation.

 

 

Office of the President Administration

  • Provide the President with a daily briefing that details daily priorities, key deliverables, and time-sensitive asks.
  • Coordinate with Senior Leadership team to ensure optimal communication and streamline of projects.
  • Demonstrate keen attention to detail and discretion in providing administrative support.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations as needed.
  • Along with Chief of Finance and Operations, collaboratively design policies and procedures to govern the Office of the President related to communication and correspondence, calendar management, and the tracking of response times.
  • Complete ad-hoc projects as assigned.
  • Assist with Board administration and coordination as needed.


EDUCATION, EXPERIENCE & CREDENTIALS 


  • Excellent analytic, writing, and strategic planning skills; demonstrated ability to manage multiple, often-conflicting deadlines; establish and negotiate timelines; and ensure timely delivery of high-quality work.
  • Creativity, flexibility, sound judgment, and ability to take initiative and work independently.
  • Effective interpersonal skills and demonstrated ability to interact professionally and compassionately with diverse staff, clients, and consultants across varied geographies.
  • A team player who can add value to the NBCDI beyond their area of expertise.
  • Deep demonstrated passion for and commitment to NBCDI’s mission and a track record of driving impact on cross-cutting social justice issues and movement building.
  • Outstanding organizational, programmatic, and financial administration experience.
  • Experience in role utilizing a high degree of discretion and confidentiality.
  • Experience with multiple software systems including Microsoft Office Suite, Salesforce, CRM Systems, SharePoint and OneDrive.
  • Experience creating high-level visual and written communications.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of the objectives of the organization.
  • Excellent communication and time management skills; proven ability to meet deadlines.

WORKING CONDITIONS 

  • Preferred working location is Washington DC or ability to travel to DC frequently.
  • This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 15 lbs. Requires the ability to periodically travel locally, regionally, nationally, and internationally.  


Salary

$65,000 - $75,000 per year
