The Program and Donor Relations Specialist works under the supervision of the Director of Academic Affairs, and must be attentive to detail and be able to manage multiple projects and deadlines. The Program and Donor Relations Specialist will also work in close collaboration with members of the Board of Directors and other team members.
JOB RESPONSIBILITIES
Donor Management & Operations:
- Track, analyze, and update member and donor information and gifts in donor management database and accounting software
- Continuously improve institutional use of donor management software through optimization and training recommendations
- Generate and coordinate communications to and from members, donors, and the public, including timely acknowledgment of donations and proactive solicitation of membership renewals
- Answer phone calls and respond to general inquiries about the organization and its programs with professionalism and knowledge
Communications & Marketing:
- Manage and customize Constant Contact email campaigns, including drafting compelling messages for campaigns, appeals, membership renewals, and other targeted fundraising efforts
- Create, post, and promote events across social media platforms (LinkedIn, Instagram, Facebook) while helping to develop and implement comprehensive social media strategies
- Update and maintain website content to ensure accuracy and engagement
Visitor Relations
- Serve as a welcoming face of NAASR, greeting and assisting all building visitors, including donors, members, and program attendees
- Provide exceptional customer service and relationship building with stakeholders at all levels
Program Coordination
- Coordinate preparation for receptions, lectures, and programs including scheduling, travel arrangements for speakers, and hosting both online and in-person events
- Support bookstore operations including book sales at lectures and events, processing orders, and responding to customer requests
- Write comprehensive reports and summaries of programs/events for newsletters, grant applications, website, and social media
- Research grant opportunities and track project status throughout the application process
- Monitor program attendance and analyze engagement metrics
- Develop compelling program promotional materials across multiple channels
- Respond to inquiries from researchers to ensure requests are routed to the relevant internal resources
- Provide general administrative support to the Executive Committee and program staff
QUALIFICATIONS
- BA/BS Degree – required
- Expert level skills in Microsoft Office, particularly Word, Excel, PowerPoint
- Working knowledge of CRMs and related programs, specifically DonorPerfect, or willingness to learn
- Working knowledge of Shopify and Constant Contact, or willingness to learn
