Position Title: Bookkeeper

Location: Remote (U.S. based candidates only); Candidates must have access to a dedicated workspace with broadband internet access.

Position Type: Part-time hourly; approximately 5-15 hours/week (varies seasonally).

Starting Salary:  $24-29/hour, depending on experience

Position Summary: 

Support national monarch and pollinator conservation as a Bookkeeper for the Monarch Joint Venture, a 501(c)(3) nonprofit organization. Learn more about the mission, vision, and values of the MJV on our website, here.


This remote, part-time position is responsible for maintaining accurate financial records and supporting day-to-day bookkeeping operations. The Bookkeeper will maintain accurate transaction records, manage receipt collection and documentation, process deposits and payments, and support bookkeeping workflows that help ensure the organization's financial records remain complete, organized, and ready for reporting. Flexible scheduling is available, with a workload that varies seasonally. During the late fall and winter months, the position is expected to require approximately 5-10 hours per week. During the busy season (late spring through early fall), hours may increase to as many as 15 hours per week. 


Primary Responsibilities:

Credit Card Expense Management

  • Review and match credit card transactions in QuickBooks Online with corresponding receipts and supporting documentation.
  • Categorize transactions accurately to the appropriate account, project (grant), and class within QuickBooks Online.
  • Enter clear, detailed transaction descriptions that adequately document the purpose of expenditures.
  • Proactively follow up with staff via email regarding missing receipts, incomplete documentation, or questions about expenditures.
  • Assist with resolving discrepancies or questions related to credit card transactions.
  • Prepare and process weekly credit card payments in Capital One.

Checking Account Expense Management

  • Review and match eligible checking account transactions in QuickBooks Online with corresponding receipts and supporting documentation, including recurring ACH payments and other non-payroll disbursements*.
  • Categorize transactions accurately to the appropriate account, project (grant), and class within QuickBooks Online.
  • Enter clear, detailed transaction descriptions that adequately document the purpose of expenditures.
  • Coordinate with staff as needed to obtain missing documentation or clarify transaction details.

*Payroll, employee reimbursements, benefits, tax payments, and related transactions processed through Gusto are managed separately and are not part of this position's responsibilities.

Deposits & Revenue Processing

  • Record incoming cash and check payments and donations in QuickBooks Online, either by creating a sales receipt or ensuring a corresponding invoice already exists.
  • Ensure all checking account deposits (cash, checks, and online donations) are appropriately matched and recorded in QuickBooks Online.
  • Coordinate with staff as needed to clarify the purpose, source, or allocation of incoming payments.

Other Financial Administration Support

  • Run monthly reports in QuickBooks online to ensure that all transactions have a recorded class and that all expenses have a recorded vendor.
  • Assist with additional bookkeeping and financial administration tasks as needed, depending on organizational needs and candidate availability.


Qualifications: 

  • Demonstrated experience in a similar role; non-profit-specific bookkeeping experience is preferred but not required.
  • Experience using QuickBooks Online for transaction coding, receipt management, and financial recordkeeping.
  • Strong attention to detail and commitment to maintaining accurate financial records and documentation.
  • Strong organizational skills with the ability to manage multiple transactions, receipts, and recurring financial processes.
  • Proactive and professional communication skills, including interpersonal verbal and written (email) communications.
  • Ability to work independently and effectively in a remote work environment.

  • Ability to concentrate on detailed tasks and maintain focus.

What to Expect

Interviews will be conducted via Zoom in 1-2 stages:

  1. A 30-45 minute interview. Questions will be shared 24 hours in advance. Finalists may be asked to provide two professional references.
  2. A brief second interview may be requested if needed for final decision-making.
