Job Posting — Office Manager / Administrative Coordinator

Position Overview

Minder Lawns is a growing residential lawn care company serving the Charlotte metro area and surrounding regions. We are looking for a dependable, organized Office Manager / Administrative Coordinator to handle the day-to-day operational and administrative functions that keep our business running smoothly.

This is a critical role that supports our field team, our clients, and our owner directly. The right candidate is detail-oriented, communicates professionally, and can manage multiple priorities without dropping the ball.

 

Key Responsibilities


Client Communication

•      Answer incoming phone calls and emails promptly and professionally

•      Respond to client inquiries, service requests, and complaints with a courteous, solutions-focused approach


Scheduling

•      Coordinate and maintain service schedules for residential lawn care clients

•      Communicate schedule changes or updates to clients and field technicians in a timely manner

•      Assist with route planning and workload distribution across service zones


Collections & Payment Follow-Up

•      Monitor outstanding invoices and follow up with clients on past-due balances

•      Send payment reminders and process incoming payments

•      Maintain accurate records of account statuses and payment activity


Estimating

•      Gather information on prospective client properties (lot size, service needs, location)

•      Prepare and send service estimates using established pricing guidelines

•      Follow up with prospects and assist in converting estimates to active accounts


Technician Onboarding

•      Coordinate the onboarding process for new lawn care technicians

•      Ensure all required documentation, agreements, and accounts are completed prior to start date

•      Serve as a point of contact for new hires during their introductory period


Payroll

•      Run payroll accurately and on schedule using Gusto or similar platform

•      Track hours, mileage reimbursements, and any pay adjustments

•      Flag and resolve payroll discrepancies promptly


Expense Tracking

•      Record and categorize business expenses on a regular basis

•      Maintain organized records of receipts, vendor invoices, and reimbursements

•      Assist owner with monthly expense reviews and budget awareness

Miscellaneous Administrative Tasks

•      Support the owner with ad hoc projects and operational needs as they arise

•      Maintain organized digital files and records across business systems

•      Identify and suggest process improvements where applicable

 

What We're Looking For

•      Prior experience in an administrative, office management, or operations coordinator role

•      Strong written and verbal communication skills

•      Comfortable handling billing, collections, and financial record-keeping

•      Proficient with basic business software (email, spreadsheets, scheduling tools)

•      Experience with Gusto or a comparable payroll platform is a plus

•      Ability to work independently and manage time effectively

•      Professional, reliable, and discreet — this role handles sensitive business and employee information
