Description

Key Responsibilities

  • Oversee day-to-day administrative operations of the practice

  • Manage scheduling, phone calls, and client intake coordination

  • Support clinicians with documentation, systems management, and communication

  • Assist with billing coordination, insurance verification, and records maintenance

  • Maintain confidentiality and uphold HIPAA standards at all times

  • Ensure the physical and emotional environment of the office remains trauma-informed and client-centered

  • Coordinate with vendors, maintain supplies, and assist with special projects or events


Qualifications

Required:

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)

  • Minimum 2 years of administrative or office management experience (healthcare or counseling setting preferred)

  • Excellent communication, organization, and multitasking skills

  • Proficiency with Microsoft Office Suite and Google Workspace

  • Professionalism and discretion in handling confidential information

  • Compassionate, reliable, and client-centered demeanor

Preferred:

  • Experience in mental health, wellness, or nonprofit environments

  • Familiarity with EHR systems (TheraNest, SimplePractice, or similar)

  • Knowledge of insurance and billing processes

  • Bilingual (English/Spanish)

Salary

$16 - $20 per hour
