Job Description

MenloEDU is seeking a Bookkeeper to support financial tracking, transaction management, and grants management and compliance efforts across the organization. Reporting to the Operations Coordinator, this role will collaborate closely with the CFO and other team members to ensure accurate financial record-keeping, efficient processing of payments, and compliance with funding requirements. This role plays a critical part in ensuring the financial health and compliance of MenloEDU’s research initiatives, directly supporting our mission to advance educational equity through rigorous research and innovative partnerships.

This is a part-time, fully remote position that requires strong attention to detail, proficiency in QuickBooks Online, and the proven ability to work effectively in a dynamic nonprofit research setting.


This is a remote, part-time position, expected to require approximately 20 hours per week, with flexibility based on workload and reporting deadlines.


Responsibilities

Financial Transaction Management & Record-Keeping

  • Enter all financial transactions into QuickBooks Online, including credit card purchases, external consultant timesheets, payroll, and cash receipts.
  • Ensure every transaction has supporting documentation and is retained in accordance with procedures developed for compliance and audit purposes.
  • Ensure proper coding of transactions using the chart of accounts and class structures to align with project and grant tracking requirements.


Vendor & Client Payments & Invoicing

  • Process vendor payments and consultant invoices in accordance with company policies and approval workflows.
  • Prepare invoices to clients and funding agencies, ensuring timely follow-up on outstanding payments, with guidance and support from Operations Coordinator and others.


Financial Reporting & Compliance

  • Assist in tracking weekly and monthly finance tasks to ensure timely processing of transactions.
  • Support regular grant compliance reviews, preparing financial reports.
  • Prepare accurate financial reports for grants, including budget vs. actuals analyses, cash flow projections, and expenditure tracking, ensuring compliance with funder requirements and organizational policies.
  • Support the preparation for internal and external audits by maintaining organized and comprehensive grant documentation and ensuring all records are audit-ready.
  • Monitor grant restrictions and ensure compliance with funder and regulatory requirements.


Collaboration & Process Improvement

  • Work closely with colleagues to maintain financial accuracy across programs and grants, highlighting and recommending efficiency improvements in financial tracking and reporting systems.


Qualifications

Required:

  • 3+ years of experience in bookkeeping, accounting, or financial administration in an education research, grant-funded, and/or nonprofit organization.
  • Knowledge of fund accounting principles and grant compliance requirements, including federal grant compliance (e.g., Uniform Guidance).
  • Proficiency with QuickBooks Online (QBO) and understanding of best practices for nonprofit financial management.
  • Experience handling accounts payable, receivable, and financial record-keeping.
  • Strong attention to detail and commitment to financial accuracy.
  • Strong communication and collaboration skills.
  • Ability to work independently and coordinate effectively with a remote team.


Preferred:

  • Familiarity with financial reporting for federal, state, or private grants.
  • Prior experience working in a contract-based or research-driven organization.
  • Experience with Excel and grant management software.



Salary

$40 - $60 per hour
