Description

This Isn't Your Average Job Posting.

And you're probably not your average candidate.

You've spent years in a professional environment where you were sharp, trusted, and good — really good — at what you did. Maybe you stepped back to be home for a while, and you don't regret it for a second. But something in you is ready to get back in the game. Not just for a paycheck. For the challenge. For the satisfaction of doing work that matters and doing it better than anyone else in the room.

If that sounds like you, keep reading.

Who We're Looking For

We're looking for a Senior Records Specialist who brings serious professional chops, a calm and grounded presence, and a genuine interest in being part of building a team culture that people actually love being part of.

You're the person who figures things out. Who doesn't wait to be told what to do. Who can hold a high standard without being rigid, and lead by example without needing the title. You care about doing things right — not because someone's watching, but because that's just who you are.

You might have a corporate background. You might have taken some time away from the workforce. We're not counting years on a resume — we're looking for someone with the instincts, the work ethic, and the drive that you can't teach.

Who We Are

MCS Litigation Support has been helping workers' compensation and personal injury attorneys  and insurance claims teams get the records they need — for over 25 years. We're a small, tight-knit team based in New Hope, MN, and we take real pride in our work.

Right now, we're in the middle of something exciting: a new chapter. New leadership, new energy, and a real commitment to building something special on top of a strong foundation. We're not a startup, but we're thinking like one — and we need people who are energized by that, not intimidated by it.

What You'll Do

This is a real role with real responsibility. You'll be one of the most experienced people on our team, and that means you'll be trusted to run with it.

Records Retrieval & Case Management

  • Proactively contact record custodians (medical facilities, employers, insurance carriers) to request and push records through.
  • Stay on top of every open submission. Follow up. Chase it down. Get the records.
  • Learn the quirks of different custodians and adapt your approach to get better results, faster.
  • Spot bottlenecks before they become problems, and solve them before anyone has to ask.
  • Prepare and submit record requests through the right channels — fax, mail, portal, phone — with all the right documentation attached.
  • Review incoming authorizations with a sharp eye — catching compliance issues, missing information, or expired forms before they slow us down.
  • Review custodian invoices against what was actually requested — and flag anything that doesn't add up.
  • Handle billing questions and payment follow-up without letting things fall through the cracks.
  • Keep our internal systems clean, current, and reliable — because the rest of the team depends on it.

Problem Solving

  • Be the person the team turns to when something gets complicated, stuck, or messy.
  • Dig into root causes — not just symptoms — and come back with a solution, not just a summary of the problem.
  • Know when to act and when to escalate. Use your judgment. We'll trust it.
  • Document what you learn so the whole team gets smarter.

Quality & Compliance

  • Set the bar for accuracy on the team — and help others hit it.
  • Know HIPAA and privacy compliance cold. Catch issues early and guide your teammates when they need it.
  • Speak up when you see a process that's broken or a risk that's being overlooked.

Client Service

  • Handle escalated client situations with the kind of calm, professional presence that makes people feel taken care of.
  • Anticipate what clients need and get ahead of it — don't wait for them to follow up with you.
  • Hold yourself and the team to a service standard that clients actually notice.

Leadership & Culture

  • Help onboard and train newer team members — not because it's in your job description, but because you actually care about the team winning.
  • Model the kind of attitude and work ethic you'd want to see everywhere.
  • Bring ideas. Push for better. Help us build something we're all proud of.

What You Bring

  • A professional background that's given you strong instincts — in records management, legal support, admin, healthcare, insurance, or something comparable.
  • Serious attention to detail. The kind where errors bother you personally.
  • Clear, confident communication — written and verbal — especially when the situation is a little tricky.
  • Experience with authorizations, billing, or records requests in a professional setting (preferred, not required).
  • The ability to manage a lot of moving pieces without losing your head — or your sense of humor.
  • A mentorship instinct. You want the people around you to succeed.
  • Comfort with technology and a willingness to learn whatever systems we use.

Requirements

  • High school diploma or equivalent required; additional education always a plus.
  • 5+ years in a professional role — records, legal, admin, healthcare, insurance, or related field. Or: you've been a high performer at MCS and you're ready for more.
  • Ability to work on-site in New Hope, MN.

What We Offer

  • Competitive pay that reflects your experience and what you bring to the table.
  • Paid time off and holiday pay.
  • 401(k) with company match.
  • A small team where your work is actually visible — and genuinely appreciated.
  • Flexibility (full-time or part-time) so you can show up fully without burning out.
  • A front-row seat to a company transformation — and a real role in making it happen.
