Who We’re Looking For

We’re hiring a Records Specialist to join our retrieval team. This isn’t a leadership role — it’s a doing role. A really important one. You’ll be the person who keeps cases moving, clients informed, and records flowing. You’ll spend a good chunk of your day on the phone with medical facilities, employers, and other record custodians, and you’ll need to be genuinely good at that.

What You’ll Do

Make the Calls (A Lot of Them)

  • Proactively contact medical facilities, employers, insurance carriers, and other record custodians to request and follow up on records.
  • Build rapport with the people on the other end of the phone — you’ll talk to some of them regularly, and relationships matter.
  • Stay persistent without being pushy. Know how to get results while keeping the interaction positive.
  • Handle inquiries and resolve issues related to record requests with patience and professionalism.

Keep Things Moving

  • Track the status of every open request and follow up consistently until it’s closed.
  • Update internal systems with accurate, timely notes so the whole team knows where things stand.
  • Flag delays or problems early — don’t let things quietly stall.
  • Assist in keeping client and facility databases current and accurate.

Process Records with Care

  • Scan and organize incoming records accurately — details matter here.
  • Ensure records are processed and filed correctly the first time.
  • Follow all privacy and compliance protocols, including HIPAA requirements, every time — no shortcuts.

Communicate Like a Pro

  • Provide timely updates to clients on their requests — proactively, not just when they ask.
  • Write clearly and professionally in emails and internal notes.
  • Be the kind of person clients and teammates genuinely enjoy working with.



What You Bring

  • A natural comfort on the phone — you don’t dread it, you actually kind of like it.
  • Strong attention to detail. Small errors bother you. That’s a good thing here.
  • Clear, friendly communication skills — written and verbal.
  • The ability to juggle multiple tasks without dropping the ball.
  • A positive, team-oriented attitude. Good vibes are not optional.
  • Comfort with computers and willingness to learn new software quickly.
  • Self-motivation — you don’t need someone checking over your shoulder to do great work.



Requirements

  • High school diploma or equivalent required.
  • Prior experience in customer service, administrative support, records management, or a related field is a plus — but not required. We will train the right person.
  • Ability to work part-time, on-site in New Hope, MN.
