Who We're Looking For

We're looking for a Paralegal who brings sharp attention to detail, a genuine understanding of HIPAA compliance, and the discipline to be the last set of eyes before something goes out the door.


You're the person who catches what everyone else misses. Who takes ownership of accuracy like it's personal. You don't need a paralegal certificate to prove you're capable — though if you have one, great — you need the instincts and the follow-through to back it up.


This is a full-time, in-person role, five days a week. We need someone who's serious about being here and building real expertise in this work.


What You'll Do

This is a real role with real responsibility, centered on being our authorization compliance expert.


Authorization Review & Compliance (primary focus)

  • Review signed patient authorizations for HIPAA compliance and completeness before requests go out.
  • Catch errors before they become problems — misspelled names, incorrect dates of birth, mismatched or incomplete data.
  • Confirm that authorization scope and language meet the requirements of the specific facility or health system a request is going to.
  • Fill out and prepare authorizations for submission.
  • Serve as the quality control checkpoint on outgoing requests — nothing leaves without your sign-off.

Opening & Routing Requests (secondary focus, growing over time)

  • Open new records requests and identify the correct facility or custodian to send them to.
  • Draw on working knowledge of Minnesota and regional hospital systems — knowing, for example, that a named clinic falls under a specific health system — to route requests accurately.
  • Coordinate with the records team on outstanding or follow-up requests.


As you grow into the role, this will shift toward a more even split between authorization review and request intake.


What You Bring

  • Extreme attention to detail — the kind where errors bother you personally.
  • Comfort reviewing legal or medical documentation for accuracy and compliance.
  • Familiarity with Minnesota healthcare facilities and hospital systems is a strong plus.
  • Clear, confident communication, especially when flagging an issue that needs to get fixed.
  • Comfort with technology and a willingness to learn whatever systems we use.


Requirements

  • High school diploma or equivalent required; paralegal certificate or degree preferred but not required.
  • Experience with authorizations, records requests, or legal/medical documentation in a professional setting (preferred, not required).
  • Ability to work on-site in New Hope, MN, full-time, five days a week.
