Description

The Office Runs Because of You.

You’re the kind of person who notices when the paper’s running low before anyone has to say anything. Who remembers to follow up on the thing everyone else forgot. Who keeps their cool when three things need to happen at once and somehow makes it look easy.

You don’t need a flashy title to take pride in your work. You just like things done right — and you like being the person who makes that happen.

Who We Are

MCS Litigation Support has been helping law firms and insurance teams get what they need for over 25 years. We’re a small, tight-knit team in New Hope, MN, and we’re in an exciting new chapter — new energy, new leadership, and a real focus on building something we’re all proud of.

Our office is busy, our work matters, and we need someone who can keep everything humming behind the scenes so the rest of the team can do their best work.

Who We’re Looking For

We’re hiring an Office Assistant who is organized, dependable, and genuinely pleasant to be around. This isn’t a role where you’re just checking boxes — you’re a core part of how this office functions every single day.

You’ll be the first impression callers and visitors get. You’ll be the reason files are findable, records are scanned, and small things don’t turn into big problems. You’ll bring great energy to a team that will genuinely appreciate it.

What You’ll Do

Handle the Details

  • Perform data entry, scanning, copying, and filing accurately and efficiently.
  • Organize and maintain both physical and digital files so things are actually findable.
  • Work with Microsoft Office (Word, Outlook, Excel) and tools like Adobe — and pick up new systems quickly.
  • Handle confidential information with discretion every single time. No exceptions.

Be the Friendly Face (and Voice)

  • Answer and direct phone calls professionally, with warmth — you’re often the first contact someone has with MCS.
  • Take accurate messages and make sure they actually get where they need to go.
  • Greet visitors and support callers in a way that leaves a great impression.
  • Communicate clearly and professionally with staff, clients, and vendors.

Keep the Office Running

  • Handle incoming and outgoing mail and deliveries without letting anything get lost in the shuffle.
  • Keep kitchen and conference rooms clean, stocked, and ready to go.
  • Proactively manage office supplies and inventory — anticipate what’s needed before someone has to ask.
  • Run errands as needed and assist with organizing office events.
  • Support the team with whatever the day throws at you — flexibility is part of the job.

What You Bring

  • Stellar organizational skills and the kind of attention to detail that makes errors feel personally offensive.
  • A warm, professional communication style — in person, on the phone, and in writing.
  • The ability to juggle multiple tasks without losing your calm or your quality.
  • Dependability. If you say you’ll do something, it gets done.
  • Discretion and good judgment when handling sensitive information.
  • Good energy. Seriously — the right attitude makes this whole place better.
  • Comfort with Microsoft Office and general office technology.

Requirements

  • High school diploma or equivalent required; associate’s degree or administrative training preferred.
  • Prior office or administrative experience preferred; legal office experience a plus.
  • Availability Monday, Thursday, and Friday preferred, between 8:00 a.m. and 5:00 p.m. – exact hours are flexible
  • Ability to work on-site in New Hope, MN.

What We Offer

  • $20–$22 per hour, depending on experience.
  • Paid time off and holiday pay.
  • 401(k) with company match.
  • A small team where you’re known, valued, and your work actually shows.
  • A welcoming, supportive environment where good people want to stick around.
  • Part-time hours with real flexibility — work that fits your life.
