As a Project Management Administrator, you will play a vital role in supporting our project delivery and production team. Responsibilities:
As a Project Management Administrator, your success will be measured by your ability to keep projects running smoothly and efficiently. Your key responsibilities include:
- Coordinating communication between project teams, clients, and stakeholders.
- Preparing reports, meeting agendas, and presentations to ensure timely and accurate information flow.
- Tracking project milestones and ensuring deadlines are met with high attention to detail.
- Supporting Senior Project Managers and Project Managers in organizing resources, tracking expenses, and managing project data.
- Document preparation, including job closeout binders, permitting, purchase orders, contract creation, and change orders.
- Taking on special projects and tasks as assigned by upper management and owners.
- Review and distribute billing-related items in coordination with CFO, Senior Project Managers, Project Managers and Bookkeeping.
- Answer incoming calls, and direct to the appropriate party in the company.
The Type of Person Required:
To thrive in this role, you’ll need:
- Foresight: The ability to predict project needs and next steps.
- Technological Proficiency:
- Microsoft Office (Excel, Teams, etc.)
- Familiarity with or ability to quickly learn JobTread or similar project management software.
- Organization: Strong organizational skills with a keen eye for detail and accuracy.
- Communication: Excellent written and verbal communication skills for coordinating with team members and clients.
- Time Management: Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Project Management: Basic understanding of project management principles (PMP or CAPM certification is a plus but not required).
What Winning Looks Like (Quarterly KPIs):
- Project Manager Success: The Senior Project Managers and Project Managers are meeting all of their KPIs and Quarterly Goals.
- Accuracy Rate of Project Documentation: % of documents submitted without needing revision or correction. Goal: > 98%.
- Permit & Inspection Schedule Accuracy: % of permits or inspections scheduled on time, with no delays caused by admin error. Goal: 100%.

Who is your Manager?
You’ll report directly to our Senior Project Managers and Project Managers, who will provide guidance, mentorship, and regular feedback to help you grow in your role. The Senior Project Managers and Project Managers oversee all project operations and will work closely with you to ensure alignment with project goals and company objectives. You will also indirectly report to the Human Resource Manager for scheduling and office related tasks.
