Care Coordinator – Mobile Laboratory Services

MBIDX Diagnostics Laboratory

Position Summary

MBIDX is seeking a highly organized, compassionate, and detail-oriented Care Coordinator to support our growing mobile molecular diagnostic laboratory operations. The Care Coordinator serves as a critical liaison between healthcare providers, patients, assisted living facilities, home health agencies, hospice organizations, and MBIDX operational teams to ensure seamless coordination of laboratory services.

This position plays an essential role in patient scheduling, order intake, provider communication, documentation review, and operational coordination for homebound and high-risk patient populations. Key Responsibilities

Patient & Provider Coordination

  • Coordinate and schedule mobile laboratory appointments for homebound patients and residents in assisted living, memory care, skilled nursing, and hospice settings
  • Communicate professionally with provider offices, caregivers, facilities, and patients regarding laboratory orders, scheduling, and service updates
  • Serve as a primary point of contact for client communication and patient coordination
  • Assist providers with laboratory order requirements, documentation, and testing options

Laboratory Order Intake & Processing

  • Review incoming laboratory referrals for completeness and compliance
  • Verify patient demographics, insurance information, ICD-10 diagnosis codes, and provider information
  • Ensure laboratory orders meet Medicare, CLIA, and payer documentation requirements
  • Enter and manage orders accurately within the company's software
  • Follow up on incomplete orders, missing signatures, insufficient ICD-10 codes, or missing documentation
  • Coordinate STAT and priority orders with operations and mobile phlebotomy teams

Client Relationship Support

  • Build and maintain strong relationships with healthcare providers, assisted living facilities, home health agencies, wound care providers, and hospice organizations
  • Provide exceptional customer service while handling sensitive patient information
  • Assist clients with order submission workflows, portal support, and operational questions
  • Help resolve scheduling issues, patient concerns, or service-related escalations promptly and professionally

Operational Coordination

  • Coordinate daily laboratory routes and scheduling logistics with mobile phlebotomists and couriers
  • Assist in reducing cancellations and reschedules through proactive communication and documentation review
  • Monitor order workflow status to ensure timely specimen collection and processing
  • Support operational efficiency initiatives and workflow improvements

Compliance & Documentation

  • Maintain strict HIPAA compliance and patient confidentiality standards
  • Accurately document all communication, scheduling activity, and workflow updates
  • Escalate compliance concerns or operational issues to management when necessary
  • Support adherence to company policies, laboratory procedures, and regulatory standards

Qualifications

Required

  • High school diploma or equivalent
  • Minimum 1–2 years of experience in healthcare coordination, medical scheduling, laboratory intake, patient services, or medical office operations
  • Strong understanding of medical terminology and ICD-10 diagnosis coding
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize in a fast-paced healthcare environment
  • Proficiency with EMR/EHR systems, Microsoft Office, and data entry systems

Preferred

  • Experience in laboratory services, molecular diagnostics, home health, hospice, or mobile healthcare operations
  • Knowledge of Medicare, CLIA, and insurance documentation requirements
  • Experience working with Laboratory Information Systems (LIS)
  • Bilingual abilities are a plus
